Edit an Invoice

Edit unpaid invoices to update details, add line items, or adjust pricing.

In Flex, you can modify specific details of unpaid invoices without deleting or recreating them. This helps you correct dates, references, payment methods, or line items while maintaining consistent invoice records.

This article explains which invoice fields can be edited, how to update an invoice, and what happens to the invoice PDF after changes are made.

What you can edit

You can edit only unpaid invoices. If an invoice is paid, you can't edit it.

Not all information on an invoice can be edited. You can edit only the following fields:

  • Issue Date – The date that appears on the invoice.

  • Due Date – The date on which the payment is due.

  • Reference – A field for any kind of note or reference.

  • Number, if you have selected the checkbox "Allow admins to edit invoice numbering" under Settings > Billing > Invoicing.

  • Payment Method – The payment method that will be used by the automatic Bill Run.

  • Discount – Apply a percentage discount on the invoice.

  • Description, Unit Price, Quantity, and Discount for each line item.

  • Add new line items. Don't forget to click to add them to the invoice.

  • Add existing fees.

Edit an existing invoice

To edit an existing invoice:

  1. Go to Billing > Invoices, then click an invoice. Alternatively, open the member or company profile to which the invoice was issued.

  2. Click Edit.

  3. Apply the necessary changes (see above ↑).

  4. Click Update.

Remove line items from the invoice

If you want to remove a line item from an invoice, clear the checkbox next to the line item:

What happens with PDF invoices?

If OfficeRnD is configured to generate invoice documents, it will automatically regenerate the PDF and update the invoice after you apply your changes. You can download and review the updated document by clicking the export button:

If you have configured an accounting system to generate the invoice documents, the PDF document will be automatically updated after the changes to the invoice are synced. Configure whether OfficeRnD or your accounting software will generate invoice documents →

Generate a PDF Document from another invoice template

If you have configured more than one invoice template in OfficeRnD, you can use the Generate PDF button to select a template and generate a new version of the invoice document.

If you don't see the Generate PDF button, this means that the invoice documents are generated by the accounting system you integrated with OfficeRnD. Read more about the available accounting integrations →
