If your company uses the Microsoft 365 package, you can use OfficeRnD Workplace from within your Microsoft Teams application, either on a desktop or a mobile device. The OfficeRnD Workplace app will allow your employees to:

  • Find and book desks and meeting rooms on the go.

  • See the real-time availability of desks and spaces on the office map.

  • Locate colleagues on the office map and book a desk next to them.

  • Manage, edit, and cancel bookings for you and your colleagues.

  • Check in for bookings via the Teams chatbot for our App.

  • Check your daily schedule.

Our recommendation: For a seamless experience, please activate SSO Authentication and SCIM provisioning with Microsoft Azure AD.

Microsoft Teams Setup

  1. Open https://admin.teams.microsoft.com/ and click Teams Apps, then Manage Apps.

  2. Search for OfficeRnD Workplace, select it, and click Edit availability.

  3. In the Edit availability menu, choose the specific team members to allow and click Apply. If you don't want to allow management, simply choose No one.

OfficeRnD Setup

  1. Log in to your OfficeRnD Workplace and go to Settings > Integrations > Communication.

  2. Find Microsoft Teams and click Activate.

  3. Then click Connect.

  4. You will be asked to log in with your Microsoft 365 credentials to finish the connection between OfficeRnD & Microsoft Teams.

    Please bear in mind you have to use an administrator Microsoft 365 account as the integration requires a certain set of permissions to be granted.

Enable Microsoft Teams to Sync User Profile Photos from your Microsoft 365

To ease your employees' experience and improve user experience, you can configure the Microsoft Teams integration to fetch everyone's profile pictures from your active directory that has an OfficeRnD account. The integration will update everyone's image if they have one in your directory.

To enable that, simply click Configure on your integration and check the Sync User Photos box. Validate with Update.

The sync is executed once per day.

Permissions

The MS Teams integration requires the following permissions:

  • Read organization information - Organization email and tenant branding information.

  • Manage apps that this app creates or owns * - It is used if you create an organization directly from Microsoft Teams. It allows Workplace to create applications that bootstrap SSO without manually setting it up.

  • Read installed Teams apps for all users * - It is used if you create an organization directly from Microsoft Teams. It allows Workplace to create applications that bootstrap SSO without manually setting it up.

  • Read all users full profiles - Used because there is an option to sync user pictures with the Workplace app.

* If the user installs the app and doesn't have an account in Workplace, they are presented with a Start Trial option. After the organization is created, we automatically set up SSO in their Entra account using the permissions listed above. After the trial is created, the user can log in directly without going to their e-mail to activate their account. That is the only reason we need the permissions marked with an asterisk.
