How follow-up sequences work

Follow-ups are triggered when a prospect stops replying after your agent responds.

The flow looks like this:

  1. A prospect sends an inquiry.

  2. The sales agent replies.

  3. No reply is received within the defined time.

  4. A follow-up email is sent automatically.

You control:

  • Timing: how long the system waits (hours or days)

  • Sequence length: how many follow-ups are sent

  • Instructions: what the AI agent includes in each message


Set up your follow-up sequence

Start by deciding how persistent you want your outreach to be without overwhelming the prospect. A typical setup includes 2 to 3 follow-ups spaced over a few hours or days.

For each follow-up, define:

  • When it should be sent (for example, 1 day later)

  • What the message should focus on


Write effective follow-up instructions

The quality of your follow-ups depends on the instructions you give the AI agent.

Keep instructions clear and practical. Focus on moving the conversation forward, not repeating the same message.

Follow-up 1: Gentle reminder

Goal: Restart the conversation without pressure

Example instruction:

  • Remind the prospect about their request

  • Keep the tone friendly and helpful

What to watch for

Make sure you avoid the following mistakes:

  • Timing is too aggressive: emails go out too quickly and feel spammy

  • Messages repeat: each follow-up says the same thing

  • No clear next step: the prospect doesn't know how to respond
