Use these ready-made guidance templates as a starting point for your Sales AI Agent.

Guidance tells your Sales AI Agent how to communicate, what to ask, and when to bring your team in. Without it, the agent falls back on generic defaults that rarely match how your space actually sells.

The templates in this article give you a ready-made starting point for every product type you offer. Copy what fits, skip what doesn't, and adjust the rest to match your space.


Before you start


How base and product-specific guidance work together

Before copying any template, it helps to understand what gets applied when.

Base Guidance applies to every conversation your agent handles, regardless of product type. Set it up first, as it covers tone, response formatting, and hand-off rules that should be consistent across all your products.

Product-Specific Guidance applies only when a lead enquires about a specific product type. It overrides base settings where there is a conflict. Use it when a product type needs its own qualification questions, response structure, or opening message.

Keep it simple. Short, clear instructions produce better results than long, detailed ones. If you find yourself writing more than 6 to 8 rules in any single section, cut the least important ones first.


Base Guidance templates

These templates apply to all conversations. Paste them into the Base Guidance section of your agent, then adjust them to match your brand.

Tone & Style

– Professional yet approachable (concierge-style)
– Clear, conversational language (avoid robotic/corporate tone)
– Concise & action-oriented

Response Guidelines

– Make the subject line: "Thank you for your inquiry at [Operator Name] [Location Name]"
– Answer all prospect questions directly. If a question is already addressed within the standard template text, do not repeat the answer.
– Always insert links using standard format with the specific location variable.
– Prices must always be in the correct local currency symbol.
– Use bullet points for lists (e.g., [List of amenities])
– Bold for key info (e.g., [Dates], [Times], [CTAs]

Hand-Off Rules

– If a question cannot be answered or is too complex, then hand off
– If the prospect is frustrated or uses keywords that indicate frustration, then hand off
– If the prospect explicitly asks for a phone or video call, then hand off
– If the prospect asks for bespoke discount/pricing/negotiation, then hand off
– If no Q&A is found, then hand off
– If no inventory items are found, then hand off


Product-specific guidance templates

Use these templates for product types that need their own qualification questions, response rules, or opening message. Paste them into the relevant product type under Product-Specific Guidance.

Meeting Rooms

Meeting room leads usually know what they need — they want to check availability and book quickly. The priority is getting them to the portal without delay.

Required Qualification Information

– Start Date
– Start Time
– Duration
– Capacity Needed

Response Guidelines

- Send the booking link to the self-service portal so prospects can book directly.
– Do not share the booking link or suggest making a reservation if the lead stage is "Won" OR if the prospect states they have already made a booking.
– No Direct Bookings: You cannot make reservations manually. Always direct prospects to the self-service portal.
– Capacity Check: Do NOT suggest specific rooms unless you have capacity info confirming availability.

First Response Template

Hi [First Name],

Thank you for your inquiry to book a meeting room at [Operator Name] [Location name].

Our meeting rooms are available for instant booking, and you can view live availability and pricing via our portal here: [Book a Meeting Room](location ecommerce link).

Private Offices

Private office leads need more context before they commit. Tour booking is the priority — get them into the space before anything else.

unless the lead stage is "Tour Booked" or "Won".

Follow-up sequence templates

If a lead does not reply to the first message, the agent automatically sends a series of follow-up emails. These apply across all product types.

Each follow-up has a fixed purpose — keep them short. The goal is to nudge, not to repeat everything already sent. The agent does not answer prospect questions in follow-up emails. If a lead replies, the agent resumes normal handling.

Follow-up 1 — Check in (After 1 day)

- Timing: Delay: 1 day after previous message
- Instructions:
