Connect Surveypal to Flex through Zapier

Trigger Surveypal surveys from member events automatically, so feedback goes out at the moment it means the most, not whenever someone remembers to send it.

Written by Yasen Marinov

Your team wants feedback after a tour, after onboarding, or after a member leaves, but each one of those moments passes quickly, and manually sending a survey means it often doesn't happen at all. Connecting Surveypal to Flex through Zapier sends a survey invitation automatically the moment one of those events happens in Flex.

This connection runs through Flex's own app in Zapier's directory, built on Flex's Zapier API. Each Zap has exactly one trigger and one resulting action, so a single Zap only ever moves data one way, from the trigger app to the action app. To move data the other way, you need a second, separate Zap.

Prerequisites

Before you connect Surveypal and Flex, confirm the following:

  • An active Surveypal account, with at least one survey already built and ready to send.

  • An active Zapier account.

  • Admin access in Flex, using your Flex admin credentials or a Client ID and Client Secret if your organization uses SSO.

Important: Flex triggers in Zapier check for changes on a polling cycle, typically every 15 minutes, not instantly. Custom properties of type date or multi-select aren't supported in Flex triggers or actions.

Example workflows

These three Zaps send feedback requests at three different points in a member's time with you.

Send an onboarding survey when a new member joins

When someone becomes a member in Flex, this Zap sends them a survey a few days in, so you catch onboarding friction before it turns into churn.

Action

New Member/Member Status Updated

Triggers when a new member is added or when a member's status is changed.

Send Invitation

Send a Survey invitation by email to someone.

Tag the response with the member's name or ID so that a low score can be traced back to the sender.

Send an exit survey when a member cancels

When a member's status changes to canceled, this Zap sends them a survey, so you learn why they left while the reason is still top of mind.

Send Invitation With Meta

Send a Survey invitation by e-mail to someone adding meta values to the response.

Tag the response with the member's name or ID so that a low score can be traced back to the sender.

Note: The onboarding and exit Zaps use the same Flex trigger, filtered on different status values. Setting up both is fine. They run independently.

FAQs

Do survey responses flow back into Flex automatically?

No. Surveypal's only trigger is for new survey answers, and Flex has no action built to receive that kind of data, so responses stay in Surveypal. If you tagged the invitation with meta values, you can still identify which member a response came from inside Surveypal itself, but it won't appear on that member's record in Flex.

Why does the Zap take a few minutes to run?

Zaps are triggered from a Flex run with a delay because Zapier checks Flex for changes on a polling cycle rather than in real time. This cycle usually runs every 15 minutes, so allow for that delay before troubleshooting a Zap that appears not to have fired.
