[Flex] Add & Manage Custom Flows

Overview

By adding custom visitor flows in Visitor Hub, you can create tailored check-in processes for different visitor types (e.g. event attendees, maintenance workers). This makes for a personalized and streamlined visitor management experience.

Setting Up

Here's a guide to adding and managing custom visitor flows in OfficeRnD Flex. To begin:

1. Open the Flex Admin portal.

2. Open the Visitor Hub module and click on Tablet Flows Customization under Tablet app Settings.

3. Under Main Flows, click on the Customize button next to Check In.

Note: Make sure the Check In toggle is enabled to be able to continue.

4. Click on the Create new flow button:

5. Provide a name for the custom flow, e.g. "Maintenance person" or "Event Attendee". This name is also used for Visitor Type.

6. (optional) Enable the Copy settings from an existing flow option and select the flow you want to duplicate from the drop-down menu.

7. When you're finished, click Add. Flex will create the custom flow and take you to a page where you can continue setting up. You can add custom fields and upload any documents for visitors to read before they continue checking in.

Enable & Disable Custom Flows

Upon creation, your custom flow is disabled by default, which means it won't instantly appear in the Visitor Hub tablet app. This behavior lets you tweak every detail before you enable the flow on tablets.

When you're ready to launch:

1. Navigate to Tablet Flows Customization under Tablet app Settings in Visitor Hub.

2. Under Check In Flows types, click on the Customize button next to Check In.

3. Click on the toggle next to your custom flow to enable it. If you need to disable it later, come back and disable the toggle.

Manage Custom Flows

At any time, you can click on the Customize button next to your custom flow to add or remove fields and documents. You can also click on the cogwheel and:

  • Rename the flow.
  • Delete the flow. Note that the Visitor Type information will remain in the Visitor Log even if the flow is deleted.
