The dashboard of OfficeRND is a nexus to all sorts of useful information spread throughout the system. We've displayed the information in separate sections so that it's easier to view and we've included links on some of the tabs so that when you click on a specific item you'll immediately see more details about the section you were currently looking at.
Please, note that most of the values that you're seeing in the dashboard are for the current month.
In the occupancy part of the dashboard you'll be able to see the occupancy for each type of resource you're currently tracking.
You can determine which resources you're tracking in the occupancy tab by going to Settings->Resource Types. Here you'll see a list of all your resource types, if you click on one of them in the newly opened window you'll see there's a checkbox called Primary. If you select this checkbox, you'll be able to track the occupancy of that resource type on that dashboard.
You can click on the title of the tab in order to go to the more detailed Occupancy section of OfficeRND, where you'll see a breakdown of the occupancy not only by percentage, but by number of resources as well. You'll also be able to see a graph of the occupancy of your space over time.
Please read more about how we calculate Occupancy in our article here.
In this section you'll be able to see a short overview of your invoices.
The Overdue and Failed value you're seeing is the total amount of all overdue invoices, this includes those from previous months.
The Paid section only displays the amount of invoices that have been issued for the current month.
You can click on the links of each value and the system will take you to the invoice section where you'll be able to see all the invoices that comprise the value on the dashboard.
In this tab you'll see three values: Target, Recurring and Occupancy.
The Target value represents your set target for the month. More on how you can set a revenue target for the month in our article here.
The Recurring value represents your monthly revenue generated by memberships, services etc.
The Occupancy value, also referred to as Cash Occupancy represents the difference between your target revenue and your recurring revenue.
You can read in detail how we calculate all three of these values here.
Here you'll be able to see your Recurring revenue for the month - this is the revenue, the source of which are all the recurring memberships that you have currently assigned to your members, e.g private offices, dedicated desks etc.
There's also a value representing the One-Offs that displays the total amount of all one-off fees issued for the current month.
The Total revenue just sums the two previous value to represent the total revenue for the month.
In this section you'll be able to see three separate graphs, that represent the growth of your organization for the current month.
The first graph represents the number of Active members, this number excludes all teammates, as they're considered staff members and in order for the analytics to be correct, any active teammates are excluded from this value.
The second graph represents the number of Portal Users, i.e users that enter the members portal of your organization over time.
The last graph represents the Capacity, which is the size of all the offices that you currently have entered into the system. The office size stands for the number of desks that are populating it.
You can set the size of an office by going to Space->Private Offices and clicking on the office which size you want to change.
You can also click on the Space Growth tab in order to enter a more detailed view of the graphs. Here you'll be able to change the period for which you're viewing these metrics, either by using the pre-set date filters Last 30 Days and Last Year on the left or by using the custom filter on the right side of the page, where there's a pen icon.
Here you can also hide specific lines in order to view just one or two, which are currently of intereset to you. This can be done by clicking on the legend for the lines at the top of the graph.
Memberships, Companies and Members
These 3 tabs are very similar, all of them have 3 values each:
Active, New and Leaving (Cancelled for memberships).
The Active number represents the number of Active Companies/Members/Memberships this month, you can use the link on each tab and the system will take you to the appropriate section of the admin portal, where you'll be able to see a detailed list of the respective Active items.
The New value represents the number of Companies/Members/Memberships that started this month. For a Company or a Member to be considered New, this means that they need to have a membership that starts this month.
If you're looking at the Memberships tab then a new memberships is again a membership that has begun in the current month.
A Company or a Member is considered to be Leaving, when their membership ends this month and there's no membership scheduled to start after this one. This is represented by the Leaving value in the respected tab.
A Cancelled membership is a memberships that's going to end this month - it may have already ended as of viewing the report or it might end in a couple of days, both cases are accounted here.
The Users tab shows the number of Total, Active and Monthly Active users. You can click on the Total and Active number in order to view the users that comprise these numbers.
An Active user is a member that has been invited and has access to the members portal and also has a currently active membership.
The monly active users shows the number of Users(not just active) that have logged in to the members portal this month.
The Total user count represents the number of total users currently in the platform. These are all the members that have been granted access to the members portal - regardless of their status, they can be both Active and Drop-ins for example.
Note: You can find more information on member statuses here.
Here you can see the number of Tentative bookings, please note that this value shows the number of tentative bookings for the next 30 days and not just for today.
Tentative bookings are bookings that've been created for resources that have a booking policy which requires approval from an admin. More on that here.
The Paid value represents the number of bookings that take place today and have been paid. Please, note that this represents the number of bookings and not the value of said bookings.
The Total number of bookings is the number of bookings that take place today, both paid and not paid bookings are taken into account in this value.
In here you can see the contracts that currently exist, but are Not Signed yet. You can also view those, that are Up for renewal and those that are Active. Each value has a link so you can click on it and see the contracts related to these numbers.
Similarly to the Users tab you'll be able to view all the Open and New opportunities that currenly exist in OfficeRND. You can find more information about Opportunities here.
The Open opportunities are all deals that haven't been yet closed and are outstanding, this includes opportunities from past months as well not just from this month.
New opportunities are opportunities that have been created this month.
The Total value sums the Open and New in order to give you the total amount of deals for this current month.
