Import Resources

OfficeRnD allows you to import your existing resource data, including types, locations, target plans, prices, and deposits. This guide explains the process and the required format for importing your data.

Before you start

Before starting the import process, ensure you have completed the following:

What properties can be imported?

You can import the following resource properties:

  • Resource Name (required):

    • Acts as the unique identifier for all resources.

    • If importing resources with repeating names in different Locations, read this guide →

  • Resource Type (required):

  • Location (required):

    • Must match an existing Location name.

  • Floor (optional):

    • Must match an existing floor name in the designated Location.

  • Target Plan (optional):

    • Applies to assignable resources.

    • Must match a recurring Billing Plan name in the designated Location.

  • Price (optional):

    • Applies to assignable resources with a defined target Billing Plan in the imported file.

    • Must be a number greater than or equal to "0".

    • If not specified, the price of the target Billing Plan will be used.

  • Deposit (optional):

    • Applies to assignable resources with a defined target Billing Plan in the imported file.

    • Must be a number greater than or equal to "0".

    • If not specified, the price of the target Billing Plan will be used.

  • Resource Rate (optional):

    • Applies to bookable resources.

    • Must match an existing Resource Rate in the designated Location.

  • Parent (optional):

  • Size (Area) (optional):

    • Specifies the area size of the resource.

  • Size (People) (optional):

    • Applies to resources of type "Zone" (for example, Meeting Rooms and Offices).

  • Available From (required):

    • Specifies the date when the resource becomes available.

  • Available To (optional):

    • Specifies the date when the resource becomes unavailable.

  • Privacy (optional):

    • Sets the privacy of bookable resources (for example, Meeting Rooms).

    • If not defined, the imported resources will be available to active members.

    • Supported values:

      • Public

      • Active Members

Can I update existing resources?

Yes, existing resources can be updated. OfficeRnD Flex uses Resource Name, Location, and Resource Type as unique identifiers to determine whether to update or add a resource during imports.

Before finalizing the import, a summary will display the number of resources to be added or updated.

How to import resources?

I. Upload a .CSV file

  1. Go to Settings > Data & Extensibility and open the Resources tab.


  2. Fill out the template with your resource data (see above ↑).

    • Mandatory fields: Resource Name, Resource Type, Location, Available From.

    • Optional fields: Floor, Target Plan, Price, Deposit, Parent, Size Area, Size People, Available To, Privacy.

  3. Click Upload CSV to begin the import.

II. Validate the data

  1. Choose the date format used in your CSV file.

  2. Select the measurement units (square meters or square feet) for area size.

  3. (Optional) Adjust the unique identifiers if necessary. Learn more about the unique identifiers →

  4. Match the columns in your CSV file to the system’s fields. If there are errors, the system will provide warnings. Fix the issues and re-upload the file. Learn more about possible validation errors and their causes →

    • The first row shows the system’s fields.

    • The second row displays your file’s columns.

  5. Click Validate once all issues are resolved.

III. View summary

  • After validation, a summary will show the data to be added or changed.

  • You can save the settings as a preset for future imports.

IV. Confirm the import

  • Click Import to finalize the process.

  • You’ll receive confirmation of a successful import.
