In OfficeRnD Workplace you can customize the default look and feel of Employee and Admin e-mails. The system has a predefined template for each document, which you can explore and modify independently.

The templates are available in Settings > Advanced Settings > Email Templates. Learn more about editing templates.

Definitions

Template Customization Request:

  • Template Customization Request refers to a document that is up to 5 pages in length. Documents exceeding 5 pages will be treated as multiple 5-page requests. For example, a 17-page contract template will be treated as 4 separate requests.

Edit Request:

  • Updates to a completed document template, including text, images, layout, or colors, count as one request. Any further changes after delivery will require a new request.

You can always ask our support team to customize your emails to better match your style and branding. It's possible to:

  • Update the text content

  • Update, add, or replace images

  • Change the default structure

  • Change color schemes

  • Change fonts

  • Implement minor layout and script modifications

*Document pages guideline: To avoid doubts, a single document customization request applies to documents up to 5 pages. Every additional 5 pages count as a new request. For example, a 17-page document would be treated as 4 separate requests.

How To Submit a Customization Request

I. Go to the default templates in OfficeRnD Workplace

  • Go to Settings > Templates.

  • Review the available templates and decide which ones you need to change.

II. Prepare a sample document to illustrate your needs

Provide an example of what you would like the template to look like after the customization. The example can be in one of the following forms:

  • Example file- this is the best-case scenario, as it gives us an exact idea of what the email should look like. The document format can be .pdf, .doc (docx), or any image format.

  • Mockup - You can give us a rough image of what you'd like to achieve. For example, you can generate a .pdf file or a screenshot with a template and write on top of it to show us what changes you'd like us to implement.

III. Carefully consider any additional specifications you might have

  • Consider the default formatting, color scheme, font styles, and sizes, and decide if any of them should be updated and how.

  • Prepare a list of the properties specific to your business or country requirements, which you need to add to the default documents generated in Workplace. Include details about what each property means and what information/value it represents.

IV. Submit your request

Next Steps

When we receive your request, a support specialist will review it. They will get back to you for additional information whenever needed.

Once we have all the necessary information, a support specialist will keep you informed about the progress of the customization.
