[AI Hub] Sales Agent – Configure Email Settings

You can configure the email settings of your AI sales agent in the Flex Admin Portal under AI Hub > Settings. These settings control how the AI agent sends, receives, delays, and copies email communications.


Set the email address of the agent

In the Agent Email field, you can define the email address used as the sender for all outgoing emails sent by the AI agent.

  • This address appears in the From field of agent-generated emails.

  • The email must be verified to be sent directly from the agent's email address.

  • If not verified, the email will come "via officernd.com", and the system will indicate the status as Not verified.

Email verification is managed in Settings > Account Details > Emails & Notifications.


Copy the agent's forwarding email

In the Receiving Email field, you can find the inbound email address assigned to the AI agent. Messages sent or forwarded to this address are processed by the agent. Copy this address to your email client and set it as the forwarding address.

  • This address is system-generated.

  • Incoming emails are treated as new inputs for the agent's conversation.


Control how long the agent waits before replying

In the Response delay field, you can control the delay between the last received message and the agent's email response. The purpose is to make the agent behave more like a human by spending more time between replies.

You can select one of the following options for how long the agent will wait before replying:

  • 0–1 minute (default)

  • 1-3 minutes

  • 3-5 minutes

  • 5-7 minutes


Form Submission Emails

In the Form Submission Emails field, you can define which email addresses or domains are allowed to forward form submission notifications to the agent’s inbox. In other words, emails from these addresses are treated as valid inbound messages.


Domains / Emails to Ignore

In the Domains/Emails to ignore field, you can specify the email addresses or domains that the agent should not respond to.

  • Messages from these sources are assumed to be internal or team emails.

  • The agent will not send replies to these addresses.

Examples:


CC

In the CC field, you can add the email addresses that will be copied on every agent response.

  • Recipients are visible to all email participants.

  • Applied globally to all outgoing agent emails.

Use cases:

  • Sales managers monitoring outbound communication

  • Shared team inbox visibility


BCC

In the BCC field, you can add the email addresses that will be blind-copied on all agent responses. Recipients are not visible to email recipients.

Common Use Case: CRM ingestion addresses.


Email Signature

In the Email Signature field, you can add an optional text appended to the bottom of all agent-sent emails.

  • Rich text formatting (bold, italics, lists, links)

  • Tables and images

  • HTML view and advanced formatting controls
