[AI Hub] Log Sales Agent Emails to HubSpot

Connecting HubSpot with OfficeRnD and your email (Gmail) ensures that all relevant communication with members is automatically logged in your CRM. This gives your team full visibility into conversations, reduces manual copy‑pasting, and keeps sales, support, and community teams aligned.

This article doesn't cover the HubSpot integration in OfficeRnD Flex. Instead, it is about how to log the sales agent's emails in HubSpot.


Overview

To automatically log the agent emails in HubSpot, follow these two key steps:

  1. Add your HubSpot BCC email in the Sales Agent’s BCC field in OfficeRnD (for outbound emails).

  2. Link the Sales Agent’s mailbox in HubSpot (for inbound and sent emails from its mailbox).

This setup ensures all communication with contacts is captured in your CRM, giving your team full visibility, reducing manual copy‑pasting, and keeping sales, support, and community teams aligned.


Outbound emails

To automatically log the sales agent emails in HubSpot:

  1. Copy your HubSpot BCC email address. You can find instructions in this HubSpot article: ​Log email in your CRM with the BCC or forwarding address

  2. In OfficeRnD, go to AI Hub > Settings.

  3. Paste the HubSpot BCC email address into the OfficeRnD BCC field and save your changes.


Inbound emails (Gmail → HubSpot)

Step 1: Connect your sales agent to your CRM

Step 2: Connect the sales agent's Gmail account to HubSpot

  1. In HubSpot, go to Settings (gear icon) > General > Email (or Email & Inbox).

  2. Click Connect personal email, select Gmail, and follow the prompts to authorize HubSpot to connect to your Google account.

Step 3: Configure default logging settings

  1. In HubSpot, go to Settings > Objects > Activities.

  2. Open the Email Log & Track tab.

  3. Turn on Apply default log setting for all users, then enable Log all emails by default to log everything sent from your connected inbox.

  4. Alternatively, in Gmail, open the HubSpot Chrome extension settings (sprocket icon) and toggle Log email to On to automatically log all emails the agent receives.
