Contracts are legally binding agreements between your workspace and its members. They define the terms of service, outline responsibilities, and specify what is being provided — offices, desks, plans, or a combination. In OfficeRnD Flex, contracts are the mechanism that generates memberships, fees, and resource assignments in member and company profiles.
This article covers how to create a contract and move it through its lifecycle. For post-creation tasks such as renewals and eSignatures, see the links at the end of this article.
How the contract lifecycle works
When you create a contract in OfficeRnD Flex, it follows one of two paths depending on how signatures are handled: manual or eSign. Both paths end in the same outcome — memberships, fees, and resource assignments are generated automatically in the member or company profile once the contract is signed.
Manual lifecycle
Use this path if you handle signatures outside of OfficeRnD: for example, printing and signing a physical copy.
Create the contract.
Export it as a PDF using your custom template (optional).
Send it to the member for signature (optional).
Upload the signed copy as an attachment to the company or member profile (optional).
Mark the contract as signed in OfficeRnD. Memberships, fees, and assignments are generated automatically.
If the member won't sign, cancel the contract.
eSign lifecycle
Use this path if you want both parties to sign electronically within OfficeRnD.
Create the contract.
Send it for e-signature.
Both the member and the admin sign electronically.
Memberships, fees, and assignments are generated automatically. A copy of the signed contract is saved in OfficeRnD.
If the member won't sign, cancel the contract.

Contract types
OfficeRnD Flex supports the following contract types:

Each type has different fields, legal implications, and lifecycle behavior.
Note: If a contract type isn't visible in your organization, it may be inactive. To activate it, go to
Settings > Operations > Contracts and enable the contract types you need.
Review contract details
To review a contract, go to
Operations > Contracts and click the contract you want to review.
On the right side, you can view general information, including the contract creator, the date it was created, whether the previous contract was renewed, the contract stage and signature status, the member for whom the contract was created, the contract duration and notice period, and the contract value.
Note: The value displayed here is the sum of all items included in the contract term, excluding VAT. Prorations for the first and last months are also applied. Generally, the amount would match the Month Total value (excluding VAT) displayed in the Payment Schedule, which is part of the default 'License Agreement' contract template.
On the left side, you can open the Template View tab to see what the contract looks like after applying your template. Or you can use the Grid View tab to quickly review all contract items, terms and conditions, and addenda.
FAQ: Contracts
What happens when I sign a contract?
Once a contract is marked as signed (manual lifecycle) or electronically signed by both parties (eSign), OfficeRnD automatically generates memberships, fees, and resource assignments in the member or company profile. In the eSign flow, a copy of the signed contract is also saved automatically.
Can I set different prices at different points in a contract?
Yes. In the Items tab, use Steps to define sub-periods within the contract term, each with its own start date, end date, and price. This is useful when rates change over the course of the agreement.
Can I apply a discount after manually editing an item's price?
No. If you manually edit the list price or default price of an item, plan discounts cannot be applied to that price.
What contract types are available?
Membership Agreements, License Agreements, Lease Agreements, Quotes, and custom contract types. If a type isn't visible, activate it under Settings > Operations > Contracts.
