[Flex] Manage Opportunities

Track potential deals, forecast revenue, and move leads through your sales pipeline in OfficeRnD Flex.

Keeping track of leads manually means deals fall through the cracks. Opportunities in OfficeRnD Flex give your sales pipeline structure: every qualified lead has a record, a status, and a probability, so you can forecast revenue and monitor where each deal stands without relying on spreadsheets or memory.

Opportunities live under Operations in the Flex Admin Portal and work alongside your member and company profiles. When a deal moves forward or closes, OfficeRnD automatically updates the contact status. You need Admin access to create and manage Opportunities.

Prerequisites

Before you begin:

  • You must have Admin access to the Flex Admin Portal.

  • The contact company or member must exist in your organization, or you can create one during the process.


Create an opportunity

To create an opportunity and add it to your pipeline:

  1. Go to Operations > Opportunities.

  2. Click Add Opportunity.

  3. In the dialog, fill in the following fields:

    • Company Name and Contact Member – Select the company and contact person. To create a new contact on the spot, select Add New from the drop-down menu. A new profile with the status Lead is created automatically.

    • Name and Status:

      • Both fields are mandatory. For Status, select one of the default values:

        • 0% (Lost) – the deal didn't go through

        • 10% (Open) – the deal is active

        • 100% (Won) – the deal closed successfully

      • You can create additional statuses for your Opportunities.

    • Deal Size – the expected revenue from the deal.

    • Company Size – the expected number of new members added.

    • Probability and Date – Based on your judgment, enter the probability of closing the deal and an expected closing date. You can manually edit the probability later.

    • Resource (optional) – Link the opportunity to a specific resource. This lets you view it on the floor plan by clicking the zone where that resource is assigned (see below ↓).

  4. Click Add.


What happens after you create an opportunity

When you create an opportunity, OfficeRnD updates related records automatically:

  • The contact receives a profile with the status Lead.

  • If the deal is won or lost, the company's status changes to Inactive until you assign memberships or fees.

  • If a deal is lost, the contact profile isn't deleted automatically. You must delete it manually if it's no longer needed.​


Add custom properties to opportunities

Custom properties let you capture additional information that isn't covered by the default fields.

Go to your custom properties settings to create new fields. Here are a few useful examples:

  • Source – Where the lead came from. Use the String field type.

  • Notes – Detailed notes about the deal. Use the Text field type.

  • Tour Date – The date of a scheduled tour. Use the Date field type.


Add custom opportunity statuses

The three default statuses cover basic pipeline stages, but you can create additional ones to match your sales process.

  1. Go to Settings > Operations > Community.

  2. In the Opportunity Statuses section, click Add Status.

  3. Enter a name and define a probability percentage.

  4. Click Add.


Sync opportunities with a CRM

If you use a CRM like Capsule or HubSpot, you can sync your Opportunities to keep your pipeline consistent across tools.

  1. Go to Settings > Integrations.

  2. Select your CRM and follow the setup steps.


View opportunities on the floor plan

If you have selected a resource for an opportunity, you can view it on the floor plan:

  1. Go to Space > Locations.

  2. Open the floor where the resource is located.

  3. Click the resource on the floor plan.

  4. In the panel on the right, the opportunity is displayed in the Opportunities section.


FAQ: Opportunities

Why did my contact's status change to Inactive after I closed a deal?

This is expected. When a deal is marked as won or lost, OfficeRnD sets the company status to Inactive until you assign a membership or fee. Once you do, the status updates.

How do I remove a contact from a lost deal?

OfficeRnD doesn't delete the contact profile automatically when a deal is lost. Go to the contact's profile and delete it manually if you no longer need it.

Can I see Opportunities on the floor plan?

Yes. Link the Opportunity to a resource when creating it. Then open the floor plan and click the zone where that resource is assigned.

What does the Probability field do?

It's a manual estimate of the deal's likelihood of closing, expressed as a percentage. The default statuses have preset probabilities (0%, 10%, 100%), but you can adjust them at any time.
