[Flex] Secondary Permission Role

The secondary permission role gives community managers from different locations cross-location visibility of each other's member base, even if they don't have access to all locations. It allows a teammate to have one particular role for one or several locations and view the other locations without permission to adjust them.


Grant a secondary permission role

To grant a secondary role to an admin user, follow these steps:

  1. Go to Settings > Account Details > Admin Users.

  2. Add a new admin user (1) or click the cogwheel next to an existing one and select Edit (2):


  3. Select the team member's primary permission role and location(s).

  4. Select a secondary permission role for the other locations.


  5. Click Update.

Secondary roles

When assigning a role to a teammate for specific (but not all) locations, owners can select the following roles for all other locations:

  • Viewer

  • No Access (selected by default)

Viewer role

Teammates assigned a secondary role as "Viewer" can only access the Admin Portal modules available to them in their primary location based on their primary role.

Examples:

  • A teammate with the primary role of "Owner" in Location A and the secondary role of "Viewer" in Location B will be able to see all sections.

  • A teammate with a "Center Manager" role for Location A and a "Viewer" role in Location B would be unable to see the Settings module, as their primary role has limitations.

Tip: To view members and companies from the locations available via the secondary role, All Locations should be selected in the global location filter. This will list members and companies from all locations the teammate can access based on their permission roles:

Team members with a secondary permission role "Viewer" can also:

  • Cancel Membership – They can cancel any and all memberships, regardless of the company location or status.

  • Merge Companies – They can merge companies from different locations, but they can only view companies from their home location(s). For example, if they try to merge Company A from their home location to Company B from a secondary location, they won't be able to do so.
    However, if they try to merge Company B from the secondary location, where they have access as Viewer, they can merge it to Company A from their home location, as they can edit the companies in their home location(s).

  • Credits and Day Passes can be added, edited, deleted, and used from any location.

  • The Sidebar Information (the right-hand side of the companies' and members' profiles that display Day Passes or payment details) is visible in a view-only mode for viewers.

  • Export – This option will be available for members/companies in locations under the primary role for which the teammate has export rights and members/companies from locations for which the teammate has secondary viewer rights.

  • Use the Global search to search for companies and members in all locations.

Teammates with secondary permission roles cannot:

  • Search for invoices outside of their home location(s).

  • Add new records (members, companies, fees, memberships, bookings, or invoices) to the locations they have viewer access.

  • Access the reports of the locations to which they have viewer access.

  • See memberships, fees, invoices, bookings, and contracts from locations where they have a secondary role, "Viewer."

No Access role

Teammates with a secondary role "No Access" have only the access granted by their primary role and can only view their home location(s).
