Bulk Bookings For Teams And Employees

The Bulk Bookings feature in OfficeRnD makes it possible to book desks for an entire team (or multiple team members) on a particular date or a recurring basis (i.e. every Tuesday) with just a few clicks.

  • Meeting rooms and assigned resources are not eligible for bulk bookings. All other bookable resources (including desks and spaces) can be booked in bulk.

Enable Bulk Bookings

Bulk Bookings must first be enabled by a Workplace admin. Go to Settings > Organization > Booking Permissions and enable Allow Bulk Bookings.

By default, you will be able to book 15 resources at once. The number can be increased to a maximum of 25 or decreased to a minimum of 2 from the picker.

Create a Bulk Booking

1. Open the Web Portal and click on Office Map.

2. Click on the new Bulk Booking button .

3. Click and drag to select the desks and/or spaces you want to book. When you're done, click Bulk Book.

4. In the Booking modal, use the Search field (1) to select your team and/or employees you want to book for. Choose the rest of your booking options and click Book (2).

5. Your bookings will be created, and e-mail invitations will be sent to attendees.

Notes

1. Each attendee should be assigned to one of the selected resources, and the booking should be processed.

2. The unused resources will be disregarded if you select more resources than attendees.

3. If there is an error, and some or all bookings were not successfully completed, the system will:

  • Return the number of resources that were successfully booked and the number that were NOT.

  • Return the reason for the error (i.e. Some resources were unavailable).

  • Return the names of any users who could not be booked.
