Recurring bookings help members save time by allowing them to schedule repeating reservations—daily, weekly, or monthly—in advance. This feature is useful for members who need the same resource at regular intervals, such as weekly team meetings or recurring desk use.

What is a recurring booking

Recurring bookings allow members to reserve the same resource on a repeating schedule, such as every Monday at 10 AM or every day for two weeks.

When and why to use recurring bookings

Recurring bookings are useful when members need consistent access to the same resource over time. This can apply to weekly team check-ins in a Meeting Room or a part-time desk reserved every Tuesday and Thursday.

You can enable recurring bookings to reduce repetitive admin work and improve member convenience.

What you can achieve

When recurring bookings are enabled through a booking policy, you can:

  • Let members create bookings that repeat daily, weekly, or monthly.

  • Set a maximum recurring period of up to 24 months from the booking's creation date.

  • Apply the policy to specific resources, such as only Meeting Rooms or only certain desks.

  • Manage recurring booking settings in bulk using the Admin Portal.

For example, if a company books a Meeting Room for weekly team calls, you can apply a recurring booking policy to that room so the reservation automatically repeats without manual effort.

Create a booking policy with recurring booking enabled

To enable recurring bookings in a specific resource—e.g., a specific Meeting Room—you need a booking policy where the Allow Recurring Bookings property is enabled.

Within the booking policy, you can also limit the time span of recurring bookings. You can set it up to a maximum of 24 months from the day of the booking's creation.

Apply the booking policy to a resource

Now that you have a booking policy that enables recurring bookings, you must edit your resources and apply the booking policy to those where recurring bookings are allowed.

Go to Workplace > Resources and open the tab containing the resource group of choice - Hotdesks, Dedicated desks, Private offices, Meeting Rooms, or Neighborhoods. Let's take Hotdesks as an example.

  1. Select one or more desks.

  2. Click Edit Hotdesks.

  3. Apply the Booking policy that allows recurring bookings.

  4. Click Update.
