The following steps will help you set up OfficeRnD and Kisi door access integration:

Note: After the initial sync the email and phone numbers are not synced/updated between OfficeRnD and the door access integration.

Connect the Kisi Integration

1. Navigate to Settings/Integrations and look for KISI.

2. Make sure your Kisi account is active and click Add.

3. If you are configuring your OfficeRnD <> Kisi integration for the first time, you will have to enter an API Key provided by Kisi and the Location(s) where the integration will be active. The best way to obtain the API token is by checking KISI's help article about their integration with OfficeRnD.

4. Enter the API key and click on Add to connect the two systems.

Door Access Configurations

Once the connection is established, you are ready to configure the mappings between OfficeRnD and Kisi. Below is a detailed explanation of each tab in the Kisi integration.

Note: To see what access groups a given member is assigned to, admins need to open the member's profile page in Community/Members and click Show Details next to Door Access.

Plans

The Plans tab allows you to map a Billing Plan in OfficeRnD to a security group in Kisi. Once you create the mapping, you are basically telling OfficeRnD: "Every time someone is assigned a membership with this plan, give them access to the following security groups".

Access will be automatically granted or revoked, depending on when the membership starts or ends. Plan mappings are most often used with the so-called "Hot desk" plans to grant members access to a common area where these desks reside. However, smaller spaces use them to map "Dedicated desk" plans as well.

If the membership does not have a member assigned, access will be granted to the whole team.

Locations

The Locations tab lets you map Locations to Kisi groups. Locations mappings work a lot like floors mappings. Whenever you assign a membership to a desk in a mapped location, the member will get access to the security groups mapped.

Example: Let's say that there's a floor called Floor 1 in a location called London. The floor is mapped to "First-floor access group". This means that if we assign a membership belonging to Joe, to a desk on "Floor 1" in "London" - we will grant Joe access to "First-floor access group" in Kisi.

If the membership does not have a member assigned, access will be granted for the whole team.

Floors

The Floors tab allows you to map floors to security groups. Mappings here work like this: assigning a membership to a desk on a certain floor will grant access to all mapped groups.

Here's an example to make things clearer: say there's a location called London and it's mapped to "General building access group". This means that if we go and assign a membership belonging to Joe to a desk on any floor in "London", we will grant Joe access to "General building access group" in Kisi.

If the membership does not have a member assigned, access will be granted to the whole team.

Offices

The Offices tab allows you to map Offices to Kisi groups. The way this works is that if you assign a specific private office via membership to a member/company, they will be added to the access group defined in the mapping.

Bookable Resources

The Meeting Rooms tab allows you to map Meeting rooms to Kisi groups. Settings here take effect whenever someone creates a booking for a mapped meeting room.

Example: John books the Elephant meeting room through the Members portal (or an admin books a room on his behalf). When the booking approaches, John is granted access to the security groups mapped to that room. When the booking is over, John's access is revoked.

Door Access - Guests & Visitors

Inviting a guest to a booking will grant them door access if they are a member of your organization. Access will be granted according to the meeting room mappings configured in your door access integration.
Inviting a visitor will not grant them door access. Click on the links to learn how to add visitors in the Admin Portal or in the Members Portal.

Day Passes

Day Passes allows you to define what access users with day passes will get. Every member or team with day passes will get access to the security groups mapped in this tab. Access will be revoked once all-day passes are used up, or their validity ends.

Kisi Configuration

The KISI Configuration tab allows you to set up whether you want automated emails to be sent to your members every time they're granted new access. If you grant your members access for meeting rooms just for bookings, for example, they'll receive an email every time that happens.

The options to choose from are:

  • KISI Default - Turning this setting on will notify the customer every time they receive new access.
  • Always Send - Turning this setting on will notify the customer every time they receive new access.
  • Never Send - No emails will be sent to customers.

After clicking Done, you are all set up to start using OfficeRnD and Kisi together. All the different configuration options provide great control over who has access to where. This means you don’t have to worry about adding or removing member access manually from a Kisi group anymore, as OfficeRnD will do that for you!

Important Considerations

  • The integration automatically manages member check-ins.
  • OfficeRnD does not delete any member accounts in KISI. We only revoke access once a membership ends or members no longer have any day passes left.
  • The integration synchronizes automatically every 15 minutes.

Providing access to people outside the organization

Sometimes you want to provide access to people outside the organization such as cleaners, VIP guests, and so on. If you add these people to some of the groups managed by OfficeRnD, they will be removed right away (as described above).

That's why we recommend creating a new group (without a prefix) that grants the appropriate permissions, and adding the person there. As this group will not be included in the configuration of the integration in OfficeRnD, access won't be revoked.

Important: OfficeRnD does not delete any accounts in Kisi. We do revoke their access once their membership ends, or they no longer have any day passes left, but the account does not get removed in Kisi.
