Learn how to use the Analytics Overview dashboard to track revenue, occupancy, bookings, and customer activity.

The Analytics Overview dashboard in OfficeRnD Flex helps you understand key metrics across your workspace. It gives you a quick way to analyze data on revenue, occupancy, bookings, and customers, all from one place. This can help you monitor your business performance, make informed decisions, and spot trends early.

By the end of this article, you will know how to access and use the Analytics Overview dashboard. You will be able to interact with its widgets, understand the different metrics, and drill down into each area of your workspace data.

Before you start


Dashboard overview

The dashboard includes several widgets that show summary data. You can interact with each widget in the following ways:

  • Click a widget to open the whole dashboard in a new tab.

  • Hover over a widget and click the ︙ icon to expand or download the data.

  • Right-click a widget to access more detailed data. Depending on the widget, you will see a breakdown by location or by month and location.

    • Click "Show All" for a more granular view of the data for the current month (if possible):

  • Some drill-downs allow you to switch between a visualization and a table view of the data. Use the options in the top right corner to switch between the views.

Revenue

The Revenue section shows an overview of your recurring and one-off revenue for the current month. Tax is not included in these metrics.

The following widgets are available:

  • Total Revenue – The total prorated amount of all one-off and recurring fees with a start date in the current month. Credit Notes and overpayments issued in the current month are deducted from the total amount unless allocated to an item with a start date beyond the end of the current month.

  • Membership Revenue – The total prorated amount of all fees associated with recurring memberships active in the current month.

  • One-Off Revenue – The total amount of all one-off fees (including booking fees) with a start date in the current month.

Under the widgets is a chart showing the total revenue over the past 6 months, split by revenue account.

Occupancy

The Occupancy section gives you the main desk occupancy metrics for the current month.

The following widgets are available:

  • Desk Occupancy – The share of prorated occupied desks relative to the total prorated available desks. Occupancy for Hot Desks is calculated based on the current month's number of active Hot Desk memberships and considers the Hot Desk Coefficient set in the organization's settings.

  • Revenue per Occupied Desk (RevPOD) – The average income generated per prorated occupied desk. It is calculated by dividing the prorated resource revenue by the number of occupied desks.

  • Revenue per Available Desk (RevPAD) – The average income generated per prorated available desk. It is calculated by dividing the prorated resource revenue by the total number of prorated available desks, factoring in the Hot Desk Coefficient for resources of type "Hot Desk."

Under the widgets is a chart showing desk occupancy over the last 6 months, split by resource type.

Customers

The Customers section provides a view of the new and lost customers in the current month and the active customers in the past 6 months. This section helps you track customer growth and retention.

The following widgets are available:

  • New Customers – The total number of customers who joined (started their first membership) in the current month. Returning customers are not included in this count.

  • Lost Customers – The total number of customers whose final membership ends in the current month, with no new memberships planned for the next month.

  • Active Customers – The total number of customers with at least one monthly active membership.

Memberships

The Memberships section provides a view of the new and terminated memberships in the current month and the active memberships in the past 6 months:

The following widgets are available:

  • New Memberships – The total number of memberships that start in the current month.

  • Lost Customers – The total number of memberships that end in the current month.

  • Active Customers – The total number of active members for at least one day per month.

The chart in this section shows changes in memberships over the last 6 months.

Bookings

The Bookings section shows data for all tentative and paid bookings in the current month and the total number of bookings over the last 6 months. Canceled bookings are excluded.

The following widgets are available:

  • Tentative Bookings – The total number of bookings marked as "tentative" in the current month. Tentative bookings are not yet confirmed and need your approval. you can click the value and then "View all tentative bookings (current month)" to open the Operations Hub of the Admin Portal, where you can approve the bookings.


  • Paid Bookings – The total number of bookings not marked as Free and with a price greater than 0.

  • Total Bookings – The total number of bookings in the respective month.

Invoices

The Invoices section provides a view of the overdue and failed amounts in the current month and the total invoiced amount for each of the past 6 months.

The following widgets are available:

  • Overdue – The total due amount from invoices past their due date. This value is always up-to-date as of the current date and includes the due amounts from all overdue invoices, regardless of their issue date.

  • Failed – The total amount of all invoices with a failed payment in the current month.

  • Invoiced Amount – The total invoiced amount in the respective month.


FAQ: Analytics Overview dashboard

How do I filter data by location on the Analytics Overview dashboard?
Use the Location filter at the top of the dashboard to view data from a specific location. You can also turn on Show Draft Locations to include draft locations.

Can I download the data from a widget?
Yes. Hover over a widget, click the ︙ icon, and select the option to download the data.

What does right-clicking a widget do?
Right-clicking a widget opens a drill-down view. Depending on the widget, you will see data grouped by location or month. You can also switch between chart and table views.

Does the revenue shown in the dashboard include tax?
No. The revenue metrics in the Analytics Overview dashboard do not include tax.

What is the Hot Desk Coefficient, and how is it used?
The Hot Desk Coefficient is a multiplier set in your organization's settings. It is used to calculate occupancy metrics for Hot Desks.

Where can I approve tentative bookings?
Click the number under Tentative Bookings, then select View all tentative bookings (current month). This will take you to the Operations Hub of the Admin Portal.

Are canceled bookings included in the metrics?
No. Canceled bookings are not included in the metrics shown on the dashboard.

What does the Overdue value in the Invoices section include?
It includes the total due amounts from all invoices past their due date, regardless of when they were issued.

What counts as a lost customer in the Customers section?
A customer is marked as "lost" if their last membership ends in the current month and no new membership is scheduled for the following month.
