Setting business hours in OfficeRnD Flex ensures that bookings align with your operational schedule. By configuring these hours, you can control when members can book resources, reduce scheduling conflicts, and keep your workspace operations in sync with your availability.

You can apply business hours across your entire organization or customize them for individual locations. These settings also affect resource rates, day passes, and how calendars appear to members.

This article will help you set and adjust business hours for your organization and locations, prevent bookings outside your working hours, and understand how time zones affect booking displays.

What are business hours?

Business hours represent your workspace's official operating times. They determine:

  • When members can book meeting rooms or resources

  • How full-day and half-day rates are calculated for passes and resources

  • Which hours appear in the daily calendar view in the Member Portal

The working hours you choose are also used when using full-day or half-day resource rates or passes.

For example, if your workday is 9 hours long, a half-day pass applies when a booking is 4.5 hours or shorter, and the full-day rate applies for bookings longer than 4.5 hours.

Set up business hours for the whole organization

Go to Settings > Calendar > Business Hours. Here, you'll see checkboxes next to each day. The ones that are enabled represent the organization's workdays.

Beneath the workdays are the fields for the business hours. The left field represents the start of the workday, and the right field represents the end.

To specify the hours, click one of the fields, and a drop-down menu will appear, allowing you to select the desired times.

The working hours you choose are also used when using full-day or half-day resource rates or passes. If the total working hours in a day are 9 hours, for example, a half-day pass will be used when a member has checked in for less than 4 hours and a half, and any booking for 4 hours and a half will use the half-day price of its Resource Rate.

Set up business hours for a specific location

If you have multiple locations with different operating times, you can set location-specific business hours.

Example: A global workspace chain has one location in New York open 24/7 for premium members, while the London location runs only from 8 a.m. to 8 p.m. Setting different hours ensures members see the right options for each site.

To set location-specific business hours:

  1. Go to Space > Locations and open a location (or create a new one).

  2. Open the Business Hours tab.

  3. Select Set Location-Specific Business Hours.

  4. Set the working days and business hours for the location.

  5. Click Update.

Note: When you create a new location, it inherits your organization-wide hours by default. If you set location-specific business hours, they will take precedence over the general ones.

Restrict bookings outside business hours

Outside business hours is considered any period of time outside the workdays and business hours.

To prevent members from booking resources outside business hours:

  1. Go to Settings > Calendar > Business Hours.

  2. Select Business hours bookings.

  3. Select to which members this should apply: active, non-active, or both.

  4. Click Update.

Note: This restriction only applies to members. Admins can still book outside business hours from the Admin Portal.

How do business hours affect the booking calendar?

Depending on the business hours you've set in the organization settings, the booking calendar will appear differently in the Member Portal.

  • In daily view, the Member Portal calendar only shows your defined working hours.

  • If outside-hours booking is allowed, members can still make bookings beyond the visible range.

Time zone changes and booking display

When a location or organization changes time zones after bookings have been created or imported, the bookings will retain the time zone in which they were initially created.

This means:

  • When the location's time zone changes, existing bookings don't automatically adjust to the new time zone.

  • Instead, they are displayed in their original timeslot, based on the old timezone.

  • This creates a visual mismatch on the calendar, where the booking appears at the wrong time relative to other bookings that follow the new timezone.

  • The result can be apparent overlaps in bookings, even when they don't actually conflict in real time.

Best practice: Avoid changing your time zone after the initial setup to prevent display issues.


FAQ: Business hours

Can I set different business hours for different locations?


Yes. Go to Space > Locations, open the Business Hours tab, and enable Set Location-Specific Business Hours.

What’s the difference between business hours and workdays?


Workdays apply at a daily level (which days you operate). Business hours specify the start and end times within each workday.

Do business hours apply to all booking types?


Yes. They control visibility and restrictions for meeting rooms, desks, and other bookable resources.

If I restrict bookings outside business hours, can admins still book?


Yes. Booking restrictions only apply to members. Admins can book at any time.

What happens if I change the time zone?


Existing bookings keep their original time zone and may appear at the wrong slot relative to the new time zone. This is only a display mismatch, but it can be confusing, so avoid changing time zones after setup.

Do business hours affect half-day and full-day rates?


Yes. The system calculates half-day and full-day pricing based on your defined business hours.

How can I temporarily extend business hours for an event?


Update your location-specific hours, then revert them after the event. Members will instantly see the updated availability.
