When you're setting up your workspace or onboarding a new hire, you can add employees one at a time from the People hub. Each employee profile stores their contact details, team assignments, workplace policy, desk assignments, and booking history in one place.
If you have a large number of employees to add at once, there are faster options available.

Add an employee
To add a new employee to OfficeRnD Workplace:
Go to People > Employees.
Click Add Employee at the top right.
Fill in the following fields:
Name, Email, and Location (required).
Team (optional) – If the employee belongs to multiple teams, click Add additional teams and choose from the list.
Phone (optional) – Add a phone number so the employee can receive visitor and delivery notifications by SMS.
Click Save.
Note: Locations in OfficeRnD Workplace represent your offices. You can store address and business hours information there and manage each office's capacity. Add locations →
Edit an employee profile
To open an employee profile, go to People > Employees and click the employee's name.
The profile is organized into the following sections:
Side panel
The side panel shows the employee's core details. From here you can:
Click Edit to update the employee's name, email, location, team, phone, and status.
Change the employee's profile picture.
Change their role. Alternatively, you can add a new role →
Switch their workplace policy or create a new one →
Turn their Web Portal access on or off.
Click Actions, then select Delete to delete the employee profile.
Bookings
This section shows all bookings associated with the employee. You can search and filter the list, click a booking to open it, and select bookings to delete or export them. Edit a booking →
Assigned desks
This section lists all desk assignments for the employee. Click the cogwheel next to a desk to edit it, view its history, find it on the floor plan, or delete it.
Comments
Use the Comments section to log notes about the employee, such as interaction records or technical issues. You can add a comment, then click the cogwheel to edit or delete it. Click Resolve to mark a comment as resolved.
