Offboarding an employee creates a great deal of administrative work. OfficeRnD Workplace aims to automate offboarding to make it as quick and straightforward for you as possible.
Before you start
To off-board an employee effectively, review the following related articles for more information:
What is the former member/employee status?
When an employee's status is changed to Former, their access to OfficeRnD Workplace (Admin Portal and Web Portal) is revoked. Their profile will remain in the database but will have limited functionality.
There are two ways an employee's status can be changed to Former:
Manual change by admins
Admins can change an employee's status in the Admin Portal.
A confirmation message will warn that future bookings will be deleted and resources unassigned.
Automatic change via integration
Status can update automatically through integrations like SCIM or Google Directory.
No warning is displayed as the active directory initiates this process.
To disable automation and retain bookings/resources, contact support.
What happens when you change a member's status to former?
When an employee is marked as Former, the following changes occur automatically:
Future bookings are deleted
All upcoming bookings are deleted except for Meeting Rooms.
Note: This applies to deleted users as well.
Resources are unassigned
Any assigned resources are immediately unassigned.
Privacy configurations are updated
Former employees are removed from resource privacy settings.
If they were the only member in the privacy configuration, privacy settings are removed for that resource.
Warning message for manual changes
Admins will see the following warning message when changing an employee's status manually:
"Changing the employee's status to Former will revoke their access to OfficeRnD and delete their future bookings except for Meeting Rooms."
Automated off-boarding
All off-boarding tasks, such as deleting bookings and unassigning resources, are automated, so no additional actions are required.
