[Integration] Zapier for Visitor Hub

Zapier is a web automation app that allows you to build Zaps to automate your business workflows. Connecting OfficeRnD with Zapier makes hundreds of other tools and applications possible.

Zapier allows you to sync visitor data with CRM platforms and pre-register visitors efficiently.

To use the VH Zapier Trigger and Action, you must authenticate exclusively using Client ID and Secret; username and password logins are not supported.


What can you achieve with Zapier and Visitor Hub?

  1. Sync visitors to CRM for marketing campaigns

    • Enable automatic visitor data synchronization to HubSpot.

    • Include only visitors who opt in to marketing communications.

    • Enhance targeted marketing efforts.

  2. Improve visitor pre-registration workflow

    • Allow pre-registration of visitors via multiple channels (e.g., Google Sheets).

    • Reduce manual visitor entry effort.

    • Enhance security and visitor check-in efficiency.

Requirements

  1. Request API v2 to be enabled for your organization (if not enabled) by writing to [email protected]

  2. Create an application from Settings > Data & Extensibility > Developer Tools > Applications > Add Application (if not already created).

  3. From the API v2 drop-down menu, the following OAuth scopes must be granted. These scopes ensure the integration can read and write data necessary to automate workflows involving visits, visitors, check-ins, and reception flows:

Allows Zapier to read visit records from the platform.

flex.community.visits.create

Enables the creation of new visits through Zapier actions.

flex.community.visitors.read

Grants read access to visitor profiles and data.

flex.community.visitors.create

Permits creation of new visitor entries.

flex.community.checkins.read

Allows Zapier to read check-in information, useful for triggers or data syncing.

flex.community.receptionFlows.read

Enables reading of reception flow configurations for routing and automation decisions.

Note: All of these scopes are required for the Zapier integration to function fully. Missing scopes may lead to partial or failed automation.

Zapier triggers

Visitor Check-in Trigger

Triggered when a visitor checks in via OfficeRnD.

  • Default Filters:

    • Visit Type (Flow): Meeting Attendee

    • Custom Fields (e.g., “Do you want to opt-in to our newsletter?” must be answered “Yes”)

  • Action: Add visitor details (Name, Email, Phone Number, Visit Flow, Custom Fields) to HubSpot’s marketing list.

In Zapier:

  1. On the Setup step, configure the trigger and click Continue.

  2. On the Configure step, select the linked organization and location.

  3. On the Test step, select the test records.

Filter Zaps

You can filter Zaps using:

  • Custom Field Filtering: Define conditions based on custom field values (e.g., “Do you want to opt-in for our newsletter?” - Answer must be “Yes”).

Zapier actions

Register Visitor

Allows the creation of visitors in OfficeRnD directly from Zapier.

  • Action: Use Zapier to add visitor details (Name, Email, Phone Number, Visit Flow, Custom Fields) to any CRM or other system.

In Zapier:

  1. On the Setup step, configure the trigger and click Continue.

  2. On the Configure step, configure the action settings.

  3. On the Test step, test the action.
