[Visitor Hub] Customize Visitor and Delivery Notifications

OfficeRnD Visitor Hub includes enhanced notifications for visitor check-ins and deliveries. These notifications help keep hosts and delivery recipients informed with clear, detailed messages. You can tailor the content and recipients for each check-in or delivery flow and ensure consistent communication across email, mobile push notifications, and SMS.

This article explains how to configure these settings and personalize notifications using dynamic fields like visitor names, phone numbers, and delivery instructions.


Use cases

You can customize your visitor and delivery notifications to unlock the following use cases:

  • Visitor notifications: Automatically send hosts additional details about their visitors, such as phone numbers and company affiliations, along with guidance on where to meet them.

  • Delivery notifications: Provide recipients with details about incoming deliveries, such as the number and type of items and pickup instructions.

Customize the check-in notifications for hosts

You can configure notifications to inform hosts when a visitor or event guest checks in. These notifications can include useful details such as the visitor's name, company, and phone number, as well as where to meet them.

To customize check-in notifications:

  1. Go to Visitor Hub > Tablet App Settings > Tablet Flows Customization and click Customize next to "Check In".

  2. Click Customize next to the flow type you want to edit.

  3. Open the Notifications tab and select the members you wish to notify at check-in.

  4. Click Customize Text to update the message content. Use the Insert Property feature to include visitor-specific details like visitor name, type, arrival time, and host.

  5. Click Save.

  6. You can check the Preview section to see what the notifications will look like. Hover over it with your mouse and click Receive test email.

Customize the delivery notifications for recipients

Delivery notifications help inform members when a package or mail item is received. You can include the delivery type, number of items, and pickup instructions in the message.

To customize delivery notifications:

  1. Go to Visitor Hub > Tablet App Settings > Tablet Flows Customization and click Customize next to "Deliveries".

  2. Click Customize next to the flow type you want to edit.

  3. Open the Notifications tab and click Customize Text to customize the notification text.

  4. Enter your text and use "Insert Property" to include dynamically updated information, such as delivery type, tracking number, and other details. Then, click Save.

  5. You can check the Preview section to see what the notifications will look like. Hover over it with your mouse and click Receive test email.
