[Integration] BlueID Door Access Control

Grant members temporary access to booked rooms and halls, automatically synced with every booking.

BlueID provides electronic door access control via app-based credentials, with NFC cards or fobs available for offline access, eliminating the need for physical keys. By integrating BlueID with OfficeRnD Flex, you can grant members temporary access to a room or hall automatically, for exactly as long as their booking lasts, without a front desk handing out or collecting keys.

This article shows you how to connect the integration, sync resource types and resources with BlueID, and grant members automatic door access through bookings.


Prerequisites

  1. Keep in mind the following points about the BlueID integration:

    • You need an OfficeRnD admin role with access to Integration Hub.

    • You need an existing BlueID account with at least one organization and site already set up. OfficeRnD doesn't create these for you.

    • Each OfficeRnD company connects to exactly one BlueID organization and site.

    • Unlike integrations that sync at fixed intervals, BlueID updates in real time. Every resource and booking change is pushed via a webhook as it happens, rather than waiting for the next scheduled sync. Data takes 5-20 seconds to update.


How OfficeRnD resources map to BlueID

OfficeRnD and BlueID describe the same physical space differently, but the integration keeps both sides lined up automatically. In BlueID, access is built from objects and groups.

An object can be a single door, a hall with multiple doors, or any other commodity you want to connect a lock to. OfficeRnD resources are automatically synced to BlueID objects if their resource type's unique key ends with _room.

Groups make it easier for you to manage objects. A group combines multiple objects so you can grant access to several locks at once, instead of selecting them individually. OfficeRnD resources are automatically synced to BlueID groups if their resource type's unique key ends with _group.

Bookings work the same way on the access side. When you book a synced resource for a member, BlueID creates a new identity: a temporary credential valid only for that booking's time window. Change the booking, and the identity changes with it. Cancel it, and BlueID removes the identity right away.

Templates come in two forms, and it's worth distinguishing between them before you build either one. If you add an amenity with a name in square brackets to a resource (for example, [Gaming]), OfficeRnD automatically generates a matching template in BlueID. If you build a template directly in BlueID instead, you get full manual control over which doors and objects it includes, which is useful when access needs to span doors that don't share a single resource or amenity. Connect the BlueID integration

Follow these steps to activate the BlueID integration in OfficeRnD Flex:

  1. Go to Integration Hub > All Integrations.

  2. Open "Access Control" and click Activate next to BlueID.

  3. Click Connect.

  4. Enter your BlueID user credentials to authorize the integration.

  5. Select the OfficeRnD company to receive access to one BlueID organization and one site. You can add more companies later.

  6. Click Finish Connection. BlueID will start automatically synchronizing all resources from OfficeRnD.

Note: Every OfficeRnD company is tied to a specific location in OfficeRnD. Keep that pairing in mind. It determines where resources must go in the next step.


Sync resources with BlueID

Resources sync to BlueID in two layers: a resource type that determines whether a space category is eligible, and the individual resource that becomes a live entry in BlueID.

Create new resource types or update your existing ones

Resource types determine which categories of spaces, such as meeting rooms or event halls, are eligible to sync with BlueID. Keep in mind that you don't have to create new resource types; you can just update the unique keys for your existing ones to end in either _group or _room, and all resources of this type will be automatically synced with BlueID.

To create a new resource type in OfficeRnD:

  1. Go to Settings > Spaces > Resource Type.

  2. Click Add Resource Type.

  3. Type a name and select an icon.

  4. Type a unique key that ends in _group or _room, for example big_hall_group.

  5. Configure the remaining options (Can Book, Booking Mode, Can Assign) to match how you want the space to behave in OfficeRnD.

  6. Click Add.

Important: BlueID only syncs resource types with a unique key ending in _group or _room. A resource type with any other key, and every resource created under it, stays invisible to BlueID.

Add resources

Add the actual rooms or halls under each synced resource type. Adding a resource automatically creates a matching entry in BlueID. Keep in mind that you aren't required to create new resources in OfficeRnD; if you have updated the unique keys of your existing resource types to end in either _group or _room, all resources of this type will be automatically synced with BlueID (see above ↑).

To add a new resource of any resource type:

  1. Go to Spaces, then select the resource type you created.

  2. Click Add [Resource Type name] (for example, Add Big Hall).

  3. Type a name for the resource, for example, Roof Swimming Hall.

  4. Select the location that matches the company you connected to BlueID.

  5. Complete the remaining fields (target, size, availability, amenities).

  6. Click Add. The following happens:

    • BlueID creates a matching entry with the same name.

    • That entry will be an Object (if the resource type's unique key ends with "_room") or a Group (if the resource type's unique key ends with "_group").

Important: Select the same location associated with the company you mapped to BlueID during the connection step. A resource added under a different location won't reach the intended BlueID site.


Grant access with amenity-based templates

An amenity can represent two different things. Wi-Fi, a whiteboard, or a coffee machine describe a free addition to a resource but don't gate a door on their own, so they don't need to reach BlueID. A gaming room or a cafeteria is also an amenity, but one with its own lock, so it needs to sync with BlueID to grant access. Square brackets decide which is which: an amenity with a name written in brackets, like [Cafe], syncs to BlueID as its own access Object. An amenity without brackets, like Wi-Fi, stays in OfficeRnD only and isn't synced to BlueID.

Add amenities

Amenities are extras like Wi-Fi or parking that are offered alongside a resource rather than standing on their own. To create an amenity in OfficeRnD:

  1. Go to Spaces > Amenities.

  2. Click Add Amenity.

  3. Type the amenity name inside square brackets, for example [Spa].

  4. Click Add.

Important: Only amenities written in square brackets sync to BlueID, matching the door or lock they represent. An amenity without brackets, like Wi-Fi or a whiteboard, never reaches BlueID.

Automatically creating amenity-based templates

Attaching a bracketed amenity to a resource automatically generates an access template in BlueID that covers both the resource's door and the amenity's door. This happens entirely through OfficeRnD, with no manual template setup in BlueID.

Example: A coworking space has a Meeting Room with a [Cafe] amenity. Every time a Meeting Room resource is created, OfficeRnD automatically generates a template that grants access to both the meeting room door and the cafeteria door. This works well when every meeting room should follow the same access rule, with no per-room customization needed.


Build a custom BlueID template

Amenity-based templates cover the common case where a single resource and its amenities share a single access rule. Some access rules don't map to a single resource at all, and that's where a custom template built directly in BlueID gives you more flexibility.

Example: A coworking operator wants every Private Office tenant to also reach the podcast studio and the rooftop terrace, three doors that don't share a single resource or amenity in OfficeRnD. An admin builds a custom template in BlueID that includes all three, assigns it a key, and sets the same key on the matching OfficeRnD resource type. Adding or removing a door later only requires a change in BlueID.

To create a custom template:

  1. In BlueID, create or open a template and note its key, for example visitors.

  2. In OfficeRnD, go to Settings > Spaces > Resource Type.

  3. Click Add Resource Type.

  4. Type the same key as the BlueID template in the Unique Key field.

  5. Click Add.

Bookings for this resource type apply the access rules already defined in the matching BlueID template, rather than creating a new one-off group. From here, you manage the template's doors and objects entirely in BlueID, without making further changes in OfficeRnD.


Book a resource and grant door access

Every booking created for a synced resource generates a matching, time-bound identity in BlueID. This includes bookings made by admins in the Admin Portal, by members in the Member Portal, and by anyone on the Growth Hub storefront.

Example: Maria books the Roof Swimming Hall for 3:30 to 4:30 PM. The moment she clicks Book Now, BlueID creates an identity that lets her into the hall for that window only. If the booking is canceled, BlueID removes the identity right away.

Admins can make a test booking to confirm that an identity has been created in BlueID and that the appropriate access is granted:

  1. In OfficeRnD, go to Calendar.

  2. Select the resource type from the drop-down menu, for example, Big Halls.

  3. Click Book.

  4. Select the company and the member.

  5. Select the resource, then set the start and end time.

  6. Click Book Now.

  7. To confirm the booking granted access, in BlueID, go to Identities, and check that a new identity was created for the member. It should look like this:

Note: Canceling a booking immediately removes the member's door access. Shortening or extending a booking updates the access window to match the new time.


Important considerations

  • BlueID syncs resources and bookings in real time via webhooks, typically within 5 to 20 seconds, rather than waiting for a scheduled sync.

  • Only resource types with a unique key ending in _group or _room sync to BlueID. Any other key, and OfficeRnD and BlueID stay out of sync for that space.

  • Only amenities written in square brackets, like [Cafe], sync to BlueID. Amenities without brackets, such as Wi-Fi, remain in OfficeRnD only.

  • Amenity-based templates are generated automatically from OfficeRnD. Custom templates are built manually in BlueID for access rules that span doors across multiple resources or amenities.


FAQs

Why isn't my resource showing up in BlueID?

A resource doesn't sync to BlueID when its resource type key doesn't end in _group or _room. Go to Settings > Spaces > Resource Type, then check the unique key for that resource type.

Why doesn't my amenity appear as its own entry in BlueID?

Check whether the amenity name uses square brackets. Only bracketed amenities, like [Gaming], sync to BlueID as an access object. An amenity without brackets, like Wi-Fi, describes an addition to the main resource that isn't gated behind a door, so it stays in OfficeRnD only.

What happens to a member's door access if I cancel their booking?

Canceling a booking revokes the member's door access right away. OfficeRnD and BlueID stay synced through booking events, so the identity created for that booking is removed as soon as the booking is canceled.

Can I connect one OfficeRnD company to multiple BlueID sites?

You can't connect one OfficeRnD company to more than one BlueID site. Each connection maps one OfficeRnD company to exactly one BlueID organization and site, so set up a separate connection for each site you manage.

What's the difference between an amenity-based template and a custom BlueID template?

An amenity-based template is generated automatically whenever you create a resource with a bracketed amenity attached, and it only covers that resource's door and the amenity's door. A custom template is built manually in BlueID, so it can bundle any combination of doors and objects, which suits access rules that don't map to a single resource.

How often does BlueID sync with OfficeRnD?

BlueID syncs with OfficeRnD in real time. Every resource, resource type, and booking change sends an update via a webhook the moment it happens, so you don't have to wait for a scheduled sync as you would with polling-based integrations.
