When buyers can’t see how a space is set up or whether it fits their group, they stop and send an inquiry. That inquiry takes your team time to answer, and the booking doesn’t convert. With Room Layouts, you can publish each resource’s setup options on your storefront, so buyers get the information they need before they pay.
Room Layouts are configured in Growth Hub and are available for all bookable resources, including custom resource types you’ve created in OfficeRnD Flex. The feature doesn’t affect how resources are priced or how bookings are processed.

You need admin permissions to edit resources.
Layouts are configured per resource. If you haven’t set up your bookable resources yet, do that in OfficeRnD Flex first.
Room Layouts are part of Growth Hub. Ensure the add-on is active for your organization.
How Room Layouts work
Growth Hub includes 8 standard layout types: Boardroom, Cabaret, Classroom, Cocktail, Hollow Square, Round Table, Theatre, and U-Shape. Each comes with an icon. You can't create custom layouts or change the icons.
Layouts are turned off by default on every resource. You decide which layouts apply to each resource and what the capacity is for each one. If you add a short description, that text is displayed with the layout on the storefront.
When a buyer selects a layout and enters their guest count, the checkout validates the count against the layout’s capacity. If the guest count is over capacity, the buyer sees an inline error and can’t proceed. The layout and guest count are sent to the Admin Calendar and recorded on the booking.
Note: Layouts are per resource. The same layout type can have different capacities on different resources.
Turn on layouts for a resource
Open a resource in Growth Hub to turn on the layouts that apply to it.
In the Flex Admin Portal, go to Growth Hub > Resources.
Select the resource you want to configure.
Open the Layout options tab.
Find the layout you want to turn on. The page shows all 8 layout types, each with its current capacity.
Turn on the toggle next to the layout name.
Click Customize to open the layout settings.
Enter the capacity in the Capacity field.
Enter your description in the Description field.
Keep it 1–2 sentences.
Focus on what kind of event the layout suits or how the seating is arranged, rather than repeating the layout name. For example: "Ideal for presentations and keynotes with rows facing the front."
Click Save.
Repeat for each layout you want to make available on that resource.
Important: Layouts without a capacity set are shown to buyers without a seat count. Set capacity on every layout you turn on so buyers can compare options.
Preview what buyers see on the storefront
When a buyer opens a resource on your storefront, the available layouts are listed with their icons, capacity, and description (if set). The buyer selects a layout and enters their expected guest count before proceeding to payment.
If the guest count exceeds the layout’s capacity, the checkout displays an inline error and prevents the buyer from continuing. The buyer must either reduce the guest count or choose a layout with higher capacity.
After checkout, the selected layout and guest count are displayed on the booking confirmation and on the booking record in OfficeRnD Flex.
Add layout and guest count to booking emails
2 properties are available for booking email templates:
layout: returns the layout type selected at checkout, for example, Theatre.guestCount: returns the guest count entered at checkout.
These properties work in all 14 booking email templates, including member-facing confirmations, guest invitations, upcoming reminders, and admin notifications. Add them to your templates under Settings > Data & Extensibility > Templates > Member Emails.
Note: layout and guestCount are only populated for bookings made through Growth Hub on a resource with at least 1 layout enabled. Bookings made without a layout selection return an empty value.
Best practices
If you offer layouts that require physical setup between bookings (for example, switching from Theatre to Cabaret), consider setting a preparation time and a minimum notice period on the resource. Preparation time blocks time before or after each booking for room setup. Limit time before start of booking gives your team enough lead time to arrange the space before the buyer arrives. Both options are available in Booking Policies.
If you manage multiple resources, turn on only the layouts that genuinely apply to each one. Showing layouts that don’t fit the resource creates confusion for buyers and can lead to incorrect bookings.
If a resource can be used in different configurations depending on the event size, turn on several layouts and set distinct capacities for each. This gives buyers a clear comparison and lets the checkout validate against the right number.
Write descriptions in buyer language. Avoid internal labels or abbreviations that your team uses that buyers won’t recognize.

Can I create a custom layout type?
You can’t create custom layout types. Growth Hub includes 8 standard types: Boardroom, Cabaret, Classroom, Cocktail, Hollow Square, Round Table, Theatre, and U-Shape. You can customize the capacity and description for each.
What happens if I don’t set a capacity for a layout I’ve turned on?
The layout is shown to buyers without a seat count. Buyers can still select it and enter a guest count, but the checkout won’t validate against a capacity limit. Set a capacity on every layout you turn on to avoid overbookings.
Can I apply the same layout type to more than one resource?
You can turn on any layout on any resource. The same layout type can have different capacities on different resources. Layouts and capacities are configured per resource.
Do buyers have to select a layout to complete the booking?
No, layout selection is optional when at least one layout is turned on for a resource.
Why isn’t the layout showing on the booking in OfficeRnD Flex?
The layout isn’t showing because OfficeRnD Flex only records it for bookings made through Growth Hub. This requires a resource with at least 1 layout turned on. Bookings made directly in OfficeRnD Flex or on resources without configured layouts don’t include layout data.
