Make a resource type both bookable and assignable

Combine short-term calendar reservations with long-term memberships and contracts on the same space, without creating duplicate inventory.

Some resources sit empty for stretches between long-term tenants: a private office between move-ins, a dedicated desk between agreements. During those gaps, the resource earns nothing, and your team ends up checking calendars and contracts by hand before offering it for a short stay. Making a resource type both bookable and assignable lets the same resource cover both jobs: long-term assignment through memberships or contracts, and short-term bookings whenever it isn't occupied. OfficeRnD checks a resource's calendar bookings and its membership or contract assignments together, so a resource only shows as available when it's genuinely free.

This setup applies at the resource type level and works for private offices, dedicated desks, or any custom resource type you've created. It depends on a resource rate to price the short-term bookings, plus the same booking policies and cancellation policies your other bookable resources already use. Before you start

  • Ensure you have admin permission to manage resource types, resource rates, and billing in the Admin Portal.

  • Ensure the resources you want to make bookable already exist under an assignable resource type, such as 'private office' or 'dedicated desk'.

  • Create a booking policy and a cancellation policy for the short-term bookings.


How availability works for dual-purpose resource types

A resource type usually does one job. It's either something people book for a few hours or days, or something you assign to a member or company for months at a time. Making a resource type both bookable and assignable lets one resource do both, so you're not maintaining 2 separate records for the same desk or office.

Making a resource type bookable makes every resource under it available to book right away. However, a resource rate is what sets the price for that booking. Without a rate attached, a resource is still bookable, just free of charge. If you want to assign a resource to a member or company, it must be linked to a monthly plan that prices that membership, and the member or company must purchase a membership for that monthly plan.

An important question that must be answered is what happens when a resource is both bookable and assignable, and how conflicts are avoided. In practice, you don't have to worry about that, because availability comes down to one question: is the resource free right now? OfficeRnD checks both the resource's bookings and its current membership or contract before answering. If someone's assigned to it, those dates aren't available for booking. After they move out, the resource opens back up for short-term use on its own, with no manual calendar blocking required.


1. Make the resource type bookable

Start by opening the resource type you want to make dual-purpose and turning on bookings for all resources of that type:

  1. Go to Settings > Space > Resource Types.

  2. Open the resource type you want to make bookable and assignable, for example Private Office or Dedicated Desk.

  3. Select Can Book so resources of this type become bookable.

  4. Choose the Booking Mode:

    • Select Date for daily bookings.

    • Select Time for hourly bookings.

  5. Select Can Assign so resources of this type become assignable through memberships and contracts.

  6. Click Update.

Important: 'Can Book', 'Can Assign', and 'Booking Mode' apply to every resource under the resource type, not just one. Changing them here affects all existing resources of that type.


2. Assign the resource through memberships for monthly plans

When you turn on Can Book for a resource type, that doesn't change how resource assignment works. That still has to be configured for each individual resource by setting a Target Plan.

Open the resource and select a monthly billing plan in the Target Plan field. Anyone with a membership to that plan can then be assigned to this specific resource, the same way you'll connect a resource rate for bookings in step 4.

The plan you select must have a plan type that matches this resource type. Default resource types, such as private office and dedicated desk, already have a matching plan type built in. Custom resource types need a custom plan type created for them first.


3. Create a resource rate for short-term bookings

Create a resource rate to price the short-term bookings. You can create multiple rates for resources of different sizes (for example, private offices for up to 10 people vs. private offices for up to 30 people). However, you only need one, as you can later reuse the same rate across every resource of this type.

When creating the resource rate, match the Booking Mode you selected on the resource type: create an hourly rate for Time, or a daily rate for Date.

4. Assign the resource rate to specific resources

We have made resources of the selected type bookable, but for each resource to have pricing, you must connect it to a resource rate:

  1. Go to Space and open the specific resource you want to make bookable, for example a private office or a dedicated desk.

  2. Open the Calendar tab.

  3. Open Rate and select the resource rate you created.

  4. Click Update.

  5. Repeat for each resource you want to offer for short-term bookings. Skip this step for any resource you want to keep assignable only.


5. Confirm double-booking is not possible

Run a quick check so the dual-purpose setup behaves as expected before you hand the resource type to onboarding or support as a reference.

  1. Check a resource currently assigned to a member or company. Dates covered by the membership or contract shouldn't be available for booking.

  2. Check a resource that's between tenants. Only the vacant dates should be available.

  3. Create a test booking for an open date or time.

  4. Refresh the calendar and confirm the same date or time is no longer available.


FAQs

Does turning on Can Book make every resource of that type bookable?

Turning on Can Book at the resource type level makes every resource of that type bookable right away. A resource rate doesn't control whether a resource can be booked, only what it costs. Without one assigned, the resource is still bookable, just free of charge.

Can I keep some resources of a dual-purpose type assignable only?

You can keep some resources of a dual-purpose resource type assignable only. Skip assigning a resource rate to those resources, and they stay available for memberships and contracts without becoming bookable.

Why are some dates missing from a resource's booking calendar?

Missing dates on a resource's booking calendar are usually covered by an existing membership or contract assignment. Check the resource's Calendar tab and its current assignment dates to confirm.

Can I set different booking modes for different resources of the same type?

You can't set different booking modes for individual resources within the same resource type. Booking Mode is a resource type-level setting, so every resource under that type shares the same Date or Time mode. Create a separate resource type if you need both.

Does this setup cause double-booking between assignments and short-term bookings?

This setup doesn't cause double-booking between assignments and short-term bookings. OfficeRnD checks both active bookings and current membership or contract assignments before showing a resource as available, so occupied dates are never shown as open.

Do I need Growth Hub to use a bookable and assignable resource type?

You don't need Growth Hub to use a bookable and assignable resource type. Internal bookings work as soon as Can Book is turned on; a resource rate sets the price but isn't required for the booking to go through. Growth Hub is only required if you want to list the resource for external bookings on your public storefront.

Does turning on Can Book affect existing assignments or billing plans?

Turning on Can Book doesn't affect existing assignments or billing plans. The assignable side keeps working exactly as it did before. You're only adding a new way to book the same resource whenever it isn't occupied.

What do I need before I can assign a custom resource type to a member?

Before you can assign a custom resource type to a member, you need a custom billing plan type built for it, and the resource's Target Plan field needs to point to a plan of that type. Create the custom resource type first, then build a matching billing plan type, then set the target plan on each resource.
