If you've ever struggled to figure out why a member isn't being charged correctly, the problem usually traces back to confusing a Billing Plan with a membership. A Billing Plan sets the price for a resource or service. A membership connects that price to a specific person or company. Once you separate these two ideas, setting up billing in your space becomes much easier to reason about.
In OfficeRnD Flex, Billing Plans and memberships sit at the center of your billing configuration. Resources connect to Billing Plans through Target Plans, and that connection determines which membership type gets assigned automatically.

How Billing Plans and memberships work together
A Billing Plan is the pricing model you create for a specific resource or service. It defines how much a member or company pays and how that charge gets billed.
A Billing Plan can include booking credits, coins, and Day Passes. It can be configured to be billed monthly (monthly billing plans) or one-time (one-off billing plans). You can optionally require a deposit from members and companies who purchase the billing plan.
A membership is a subscription to a Billing Plan. Creating one assigns a Billing Plan you've already set up to a specific member or company. Think of it this way: the Billing Plan is the price tag, and the membership is the receipt that ties that price to a customer.
Review the default Billing Plan types
Each billing plan you create must have a plan type. The plan type you select lets you connect the billing plan to any resource of that type. The available plan types correspond to the resource types in your organization (both default resource types and custom ones you have created). Default plan types cover most coworking pricing models, but you can also create your own (see below ↓).
OfficeRnD Flex includes 5 default Billing Plan types:
Billing Plan recurrence
You can set the recurrence for each billing plan, regardless of type, to be billed Monthly or One-off. When creating a plan, you decide between these two options (see screenshot). Memberships can be created only for monthly billing plans. One-off billing plans generate one-off fees.
Charge for a bookable resource
Billing Plans aren't the right tool for resources you book by the hour, like meeting rooms. Use a Resource Rate instead.
Resource Rates support hourly, daily, or custom time periods, which makes them a better fit for bookable resources than a Monthly or One-off Billing Plan.
Connect a Billing Plan to a resource
Create your Billing Plans before you add resources to your space. This order matters because resources are linked to Billing Plans through a target plan, and that link determines how the system assigns memberships.
Follow this order of actions:
Create the Billing Plan for the resource first; for example, 'private office for 10'.
After you add the resource, edit the resource on the floor plan and set its target plan to the Billing Plan you created in step 1.
Save the resource.
The target plan tells the system which Billing Plan applies to that resource. This is how OfficeRnD Flex knows which membership type to assign when someone books or subscribes to that resource.
Create custom Billing Plan types
If the default types don't match your pricing model, create your own. Custom Billing Plan types require custom resource types first, since each Billing Plan type maps to a resource type. Create a custom resource type →
FAQs
What is the difference between a Billing Plan and a membership?
A Billing Plan defines the price for a resource or service. A membership is the subscription that connects that Billing Plan to a specific member or company.
Can I offer both monthly and one-off Billing Plans?
You can set up both monthly recurring plans and one-time charges in the same workspace. Choose Monthly or One-off when you create each Billing Plan.
Do I need to create a Billing Plan before adding a Resource?
Create the Billing Plan before adding the resource. This lets you set a target plan during setup, making membership assignment automatic rather than manual.
Can I use Billing Plans for meeting rooms?
You can't use a Billing Plan for meeting rooms or other bookable resources. Use a Resource Rate instead, since it supports hourly, daily, or custom billing periods that match how bookable resources are actually used.
Can I create my own Billing Plan types?
You can create custom Billing Plan types when the default options don't fit your pricing model. Set up a custom Resource Type first, then build the Billing Plan type around it.
Why does a member keep getting invoiced every month after I cancel their membership?
A canceled membership can still leave pending fees, such as deposits or processing fees, that generate their own invoices. These fees aren't tied to the membership status, so canceling the membership doesn't stop them. To stop the recurring charge, find the open fee under the member's profile, invoice it, then void the invoice.
Why is a member or a company showing a "drop-in" status when they were never assigned a membership?
A "drop-in" status usually means there's an outstanding fee on the account, not an active membership. Even without a membership, a company or member can incur fees for things like deposits or processing charges, and those fees keep the account active until you invoice and void them.

How to add a plan for a bookable resource?
If you want to charge for booking a resource like a meeting room, use a Resource Rate instead of a Billing Plan.
Resource Rates can be set as hourly, daily, or for another custom time period.
Resource Rates are ideal for bookable items such as meeting rooms.
Creating custom Billing Plan types
You can customize your workspace by creating your own Billing Plan types. To do that, you must create custom Resource Types.
What to do after creating a Billing Plan?
Once you create a Billing Plan, the next step is to create a Resource to apply that plan. Learn how to add Resources →
When adding a Resource, you can link it to a Target Plan.
The Target Plan creates a connection between the Resource and a Billing Plan.
This allows the system to detect the type of Membership that should be assigned to the resource.
We recommend creating your Billing Plans before you add any Resources to your space.
