With your space and services configured, it's time to bring your customer data into OfficeRnD Flex. Importing your existing companies, members, and memberships ensures a smooth transition from your previous system and sets the foundation for managing your community. You can also configure contract templates and assign memberships to specific desks or offices to keep your workspace organized and compliant.
By the end of this article, you will have imported key customer and membership data, reviewed and customized contract templates, and linked memberships to their respective resources.
1. Import company data
You can easily import your customer data into OfficeRnD Flex using a comma-separated values (CSV) file. This step ensures all organizations in your community are available in the system. You can then link members and manage company-level billing and contracts.
2. Import member data
Add individual members and link them to their respective companies. This allows for accurate member management, communication, and service allocation.
3. Import memberships
Membership imports connect members or companies to specific desks, offices, or services. When imported, the memberships are automatically assigned to the correct resources and used for billing and access.
4. Review and update the contract templates
OfficeRnD Flex allows you to customize contract templates to reflect your standard terms and conditions. This ensures consistency and legal clarity across all agreements with members or companies.
5. Define and add custom contract types
You can create custom contract types to handle different lease or membership scenarios. This is useful if your organization offers more than the four default contract types provided in the system.
6. Assign memberships to resources
Link each imported or created membership to a specific desk, office, or other resource. This ensures accurate usage tracking and aligns each member’s access with their assigned space.
