[Flex] Add Hourly Resource Rates

Learn how to set up and configure hourly pricing for Meeting Rooms and other bookable resources using Resource Rates.

Adding an hourly Resource Rate allows you to define how members are charged when booking Meeting Rooms. This is especially useful when offering members a set number of free hours (via credits or discounts) and charging them for any additional time used.

Using Resource Rates allows you to include extras and amenities and apply flexible pricing, such as higher rates for weekends or non-business hours.

By the end of this article, you'll know how to create a new hourly Resource Rate, apply optional extras and amenities, and configure advanced settings like cancellation and booking policies.

Add an hourly Resource Rate

To add an hourly Resource Rate, go to Billing > Resource Rates, click Add Rate, and select "Hourly Rate".

Tip: The system needs an hourly rate to calculate bookings that last less than half a day, so we recommend always applying an hourly rate for Meeting Rooms. An exception to this rule can be event spaces where hourly bookings aren't allowed.

In the Add Hourly Rate dialog, configure the following:

  • Name – Set a meaningful name to represent the Resource Rate.

  • (Optional) Unique code – Set a unique code to serve as a unique identifier of the Resource Rate. It can be used in invoice exports to retrieve detailed information for all invoiced line items, including their respective unique codes. In the export, this field is displayed as "ItemCode."

  • Price per hour – Set a price per hour for the Meeting Rooms using the Resource Rate.

  • Click Add rate and add more pricing variations:

    • Price per non-business hour – Set a price per non-business hour for the Meeting Rooms that will use the Resource Rate. Use this field in cases where you need to charge members differently when they book Meeting Rooms outside of business hours.

    • Price per half day – Set a price for half-day bookings.

    • Price per day – Set a price for full-day bookings.

    • Price per hour over the weekend – Set a price per hour on weekends. Use this field when you need to charge members differently for booking Meeting Rooms on weekends.

    • Price per half-day over the weekend – Set a price per half-day during weekends. Use this field when you need to charge members differently for booking Meeting Rooms on weekends.

    • Price per day over the weekend – Set a price per day during weekends. Use this field when you need to charge members differently for booking Meeting Rooms on weekends.

  • (Optional) Description – Set a description for the Resource Rate.

  • (Optional) Extras – Select extras to be available as part of the Resource Rate. Members can select to purchase any of the available extras when booking a Meeting Room associated with the Resource Rate.

  • (Optional) Amenities – Select amenities to be available as part of the Resource Rate. Amenities are provided out of the box and don't require additional payment. They are, therefore, displayed as part of the overall description of the Resource Rate on the members portal and public calendars.

Open the Advanced tab and configure the following:

  • Account – Select the Revenue Account with which you want to associate the charges. Usually, that would be the default Booking Fees account.

  • Cancellation – Select the Cancellation Policy for the Resource Rate. Learn more about booking cancellation policies →

  • Booking Policy – Select a booking policy to apply a maximum booking duration and approval rules, and permit or prohibit recurring bookings. Learn more about booking policies →


FAQ: Hourly Resource Rates

What is a Resource Rate?

A Resource Rate defines how much members are charged to book a resource, like a Meeting Room. You can set different prices for business hours, weekends, and full-day bookings.

When to choose Billing Plans and when to choose Resource Rates?

Both the Resource Rates and the Billing Plans are pricing models you can apply to the services you offer in your space.

  • Resource Rates are your pricing model for bookable resources, such as meeting rooms and event spaces.

  • Billing Plans are the pricing model you'll be using for other recurring or one-time services your space will offer (for example, office rentals, dedicated desks, or printing)

Can I apply different rates for weekends and business hours?

Yes. You can set specific prices for non-business hours and for bookings on weekends, including hourly, half-day, and full-day options.

Do I need to include an hourly rate for all Meeting Rooms?

Yes. OfficeRnD Flex uses the hourly rate to calculate charges for shorter bookings. Without it, bookings of less than half a day may not be priced correctly.

What happens if I don't define a Revenue Account for my Resource Rate?

If you do not assign a Revenue Account, charges may not be tracked correctly in your accounting setup. Always select an appropriate account, typically “Booking Fees”.

Where will the Resource Rate appear?

The configured rate and its description, extras, and amenities will be visible during Meeting Room bookings in the Member Portal and public calendars.

What are extras, and how are they used in Resource Rates?

Extras are one-off fees that can be linked to Resource Rates. Members can choose them during booking, such as requesting catering or special equipment.

Can I export Resource Rate information in invoices?

Yes. You can assign a unique code (ItemCode) to each Resource Rate. This code will appear in invoice exports for reporting purposes.

How do I set up a Resource Rate for an event space that doesn't allow hourly bookings?

You can skip the hourly rate and set full-day pricing only. This setup is typical for event spaces where shorter bookings are not allowed.
