Managing your coworking space in OfficeRnD Flex starts with understanding how Resources work. A Resource is any space or item you can assign or book, such as desks, meeting rooms, or private offices.

This article introduces the key features that support resource management, including how to set up resource types, define pricing, assign them to members, and track their usage. You will also find links to detailed guides so you can dive deeper into each topic when needed.

By the end of this article, you'll be able to identify and configure the correct resource types for your space, apply pricing rules, assign resources to members or companies, and track changes through the resource history.


Resources: overview

A Resource represents any physical item you can assign or book, such as a desk, office, or meeting room.

  • Resources are usually tied to shapes or space types on your floor plan

  • Each resource has a type that defines how it behaves (for example, hourly-bookable or permanently assigned).

  • You can add amenities to each resource, configure its pricing rules, assign it to members, and track its history.

Go to the Space Hub to view, manage, and assign all Resources. You can also relocate resources directly from the floor plan.

Understanding how each part connects helps you confidently manage resource occupancy, availability, and billing.

Resource types

Resource Types define the behavior of your Resources—whether they can be booked hourly, daily, or assigned permanently. OfficeRnD Flex comes with default Resource Types (like Hot Desks and Private Offices) and lets you create custom ones like event spaces or parking spots. You can also match these types to floor plan shapes for better visual management.

Daily and hourly Resource Rates

Use Hourly Resource Rates for resources with short-term bookings, typically for Meeting Rooms. Use Daily Resource Rates when offering resources like Hot Desks by the day, week, or month. You can apply discounts, extras, or credits to personalize pricing.

Assignable resources

Assignable resources are reserved for long-term use, such as Dedicated Desks and Private Offices. Based on your space setup and offerings, you can create and configure custom assignable resources. You can assign resources to members (Dedicated Desks) or companies (Private Offices) through memberships.

Assign resources to members

You can assign assignable resources (like desks or offices) to members or companies directly from the floor plan or a member's profile. Assignments must align with the membership type (for example, a Dedicated Desk resource must match a Dedicated Desk membership). You can also assign individual office desks within a larger office to specific team members.

Amenities

Add Amenities to Resources to show what's included in them (for example, Wi-Fi, whiteboards, monitors, or coffee machines). Amenities are displayed during sign-up and booking, giving members a full view of what they're getting at no extra cost.

Relocate resources

If a member needs to move to a different Resource, you can relocate them directly from their profile or the floor plan. This helps you manage last-minute changes without disrupting assignments.

Resource history

Track the usage of each resource over time, including who used it and when. You can also edit or delete history entries to correct reporting errors. This is especially useful when reviewing occupancy trends or troubleshooting assignments.

Resource analytics

You can use Data Hub to access different reports that will help you track how your resources are utilized.

You can use the following dashboards related to resource utilization and occupancy:

  • Resource Utilization Dashboard – Review the usage of your Meeting Rooms (and other bookable resources) based on the bookings made through a given period.​

  • Occupancy Overview Dashboard – Track how desks, offices, and areas are being used across your locations.

  • Occupancy Rates Dashboard – Review the prices of memberships related to occupied resources in your space, the total count of occupied desks, and the revenue generated per desk.

  • Occupancy Intervals Dashboard – Find the amount of time your offices have been available, occupied, or unavailable.
