[Growth Hub] Maximize Revenue by Offering Vacant Private Offices for Hourly or Daily Bookings

Turn vacant offices between move-ins into short-term bookable inventory while keeping long-term assignments and bookings aligned.

When private offices sit empty between move-ins, those days go unused, and your team may end up double-checking calendars before offering them for short stays. This setup lets you sell the same office as both long-term inventory and short-term bookings, without creating duplicate resources.

In OfficeRnD, one private office resource can cover both use cases. You keep the office assignable for memberships and contracts, connect it to a daily or hourly Resource Rate, and optionally list it on the Growth Hub storefront. Availability is checked against both bookings and office assignments, so only genuinely free offices are available for short-term booking.

Prerequisites

Before you begin:

  • Ensure your private offices already exist in OfficeRnD as resources under a Private Office resource type.

  • Create a booking policy and a cancellation policy specifically for private office bookings.

  • Ensure you have permission to manage resource types and resources, billing, Resource Rates, and Growth Hub in the Admin Portal. If you do not see the menus used in this article, ask an admin to update your access.


Overview

Each private office is a single resource, your real inventory. That same office can be used in 2 ways: long-term through memberships or contracts, and short-term through bookings when it is not occupied.

Availability is checked against both existing bookings and memberships assigned to the office. If the office has a current tenant, those dates are not available for booking. If it is between tenants, the vacant dates become bookable again. This removes the need for manual calendar blocking and helps you avoid overbooking.


Turn on booking for the private office resource type

To make private offices eligible for short-term bookings, first turn on booking at the resource type level.

  1. Open the Flex Admin Portal and go to Settings > Space > Resource Types.

  2. Open the Private Office resource type.

  3. Select Can Book to make private offices bookable.

  4. Select the Booking Mode to configure how your offices will be booked:

    • Select Date for daily bookings.

    • Select Time for hourly bookings.

  5. Keep Can Assign selected so your private offices remain assignable to memberships and contracts.

  6. Click Update.


Create a resource rate for private offices

To price daily or hourly office bookings, create a Resource Rate you can reuse across multiple offices.

  1. In the Flex Admin Portal, go to Billing > Resource Rates.

  2. Click Add Rate and:

    • Select Daily Rate if you want day bookings,

    • or Hourly Rate if you want time-based bookings.

  3. Enter a clear rate name, such as "Private Office Daily" or "Private Office Hourly."

  4. Enter the pricing details for the rate.

  5. Select the revenue account for your private office bookings. If you want cleaner revenue tracking, create a separate revenue account for short-term private office bookings.

  6. Select the cancellation and the booking policy for private offices. If you haven't created them yet, read more here:

  7. Click Add.


Assign the resource rate to each private office

To make a specific office bookable, connect it to the Resource Rate you created.

  1. In the Flex Admin Portal, go to Space > Private Office and open a private office.

  2. Open the Calendar tab.

  3. Open Rate and select the resource rate you created.

  4. Click Update.

  5. Repeat these steps for each office you want to offer for short-term bookings.


List offices on the Growth Hub storefront

To accept external bookings, list the eligible offices on your public storefront.

  1. In the Flex Admin Portal, go to Growth Hub > Listings > Resources.

  2. Click List Resources.

  3. Review the offices available to list. Only offices with Can Book turned on and a Resource Rate assigned are displayed here.

  4. Select 1 or more offices and click List.

  5. Go back to your listed resources and open each office.

  6. Upload up to 5 images.

  7. Add or improve the description so people know exactly what they are renting.

  8. Save your changes.

  9. Review the office on the public storefront under On-demand.


Verify availability before you publish

Before you publish offices widely, run a quick check so your team can trust the dates and pricing.

  1. Open a listed office on the public storefront and confirm the expected price is shown.

  2. Check an office assigned to a long-term tenant. Dates covered by the membership should not be available for booking.

  3. Check an office that is between tenants. Only the vacant dates should be available.

  4. Create a test booking for an open date or time.

  5. Refresh the listing and confirm that the same date or time is no longer available.


Best practices

  • If you want clean reporting for short-term office revenue, create a separate revenue account for daily or hourly private office rates.

  • If you manage multiple locations, use a clear naming pattern for rates, such as "Private Office Daily - Location Name."

  • If booking demand changes through the week or season, keep a stable base rate and use dynamic pricing rules for temporary price changes.

  • If you are rolling this out for the first time, start with 1 office that is currently between tenants, then test the full booking flow before listing more inventory.


FAQ: Set up private offices for daily or hourly bookings

Do I need to create duplicate office resources for short-term bookings?

No, you don't have to create duplicate office resources. Keep 1 private office resource and use it for both long-term assignments and short-term bookings.

Why is a private office not available in List Resources?

If you want to list a private office on your Growth Hub storefront, but it is not visible there:

  1. Check that Can Book is turned on for the Private Office resource type.

  2. Check that the office has a Resource Rate assigned.

Offices must meet both conditions before they can be listed on your storefront.

Why are certain dates missing from the storefront?

Those dates are usually already occupied, either by a booking or by a membership assigned to the office. Review the officeโ€™s Calendar tab and its current assignment dates.

Can I keep using private offices for long-term contracts?

Yes. Keep Can Assign turned on. That keeps private offices assignable to memberships and contracts while also making vacant time available for bookings.

Can I change pricing when demand changes?

Yes. After the base daily or hourly rate is set, use dynamic pricing rules to adjust prices for specific periods.

Are offices bookable before I list them on Growth Hub?

Yes. Once Can Book is turned on and a Resource Rate is assigned, the office can be booked internally. Listing them on Growth Hub is only needed if you want external bookings on the public storefront.
