Running a hot desk area or shared office means pricing gets complicated fast. You might charge one price on weekdays and another on weekends, offer a cheaper weekly or monthly rate, and let some members pay with day passes while others pay in credits. Daily resource rates hold all of those rules in one place, so the correct price applies automatically every time a member books.

In OfficeRnD Flex, a daily resource rate is configured alongside billing plans and revenue accounts. This article explains how daily rates work, how they handle weekend bookings, and when a daily rate is a better fit than an hourly one.

How daily resource rates work

A daily resource rate defines pricing for full-day, weekly, and monthly bookings. You have flexibility in how you price bookings for your resources: you can set separate weekend pricing and lower prices for weekly and monthly bookings. You can also control how members pay: with day passes, credits and coins, or your space's default currency.

How does it work? You link each bookable resource, such as a meeting room, a hot desk, or a private office, to a resource rate. When that resource is booked through the Member Portal or the Growth Hub storefront, OfficeRnD Flex calculates the price using the lowest applicable rate.

Here is what you can configure for daily resource rates:

  • A payment method: Currency or Credits/Coins vs. Day Passes.

  • Base pricing options for bookings lasting a day, a week, or a month.

  • Optional extras that members receive as part of the booking.

  • A Revenue Account where booking charges flow automatically.

  • Cancellation and booking policies that define the booking rules.

You can create one or more Daily Resource Rates depending on your booking needs. You can create and manage all Resource Rates from the Flex Admin Portal under Billing > Resource Rates.


Set weekend pricing

Weekend bookings follow a specific set of rules if you don't restrict bookings outside business hours. Members can then book on Saturdays and Sundays, and the price they pay depends on whether you configured a weekend rate.

  • If you set a weekend rate, that rate applies on weekends.

  • If you don't set a weekend rate, the business-hours rate applies on weekends too.

To make weekend bookings free, create a weekend rate and set it to $0. Leaving the weekend rate blank does not make weekends free, because the business-hours rate takes over.

The examples below show common ways spaces configure daily rates.

Daily rates for hot desks

If you run a hot desk area, create a rate that lets members book by the day or week. Add weekend pricing to encourage off-peak use, and allow payment with day passes.

Monthly office bookings

If you want to reward longer stays in daily offices, set a lower monthly rate in the daily resource rate settings.

Add-ons for daily bookings

If some members want extra services, such as locker access or coffee, link those extras directly to the rate.

These tips help you set up daily rates that match how your space runs.

  • If a resource is booked for short periods, such as a meeting room, use an hourly rate instead. Create an hourly resource rate →

  • If your space is quieter or busier on weekends, set a separate weekend price.

  • If you charge in day passes, remember that a full day pass is always spent regardless of booking length. A half-day booking still costs 1 day pass.

  • If you offer extras, link only the ones relevant to the resource. Don't overload a rate with unrelated add-ons.

If you select day passes as the payment method for the resource rate, members will be able to pay with day passes for all resources that use that rate. Keep in mind that 1 day pass always covers exactly 1 full day, even for a shorter booking.

Can I charge a different price on weekends?

You can set a separate rate for weekend bookings. Create a weekend rate and enter the price you want to apply on Saturdays and Sundays.

What happens if I don't set a weekend price?

If you don't set a weekend price, the business-hours rate applies on weekends. To make weekends free, create a weekend rate and set it to $0.

Can I add extras to a resource rate?

You can add extras to a resource rate. Create a one-off fee for each extra first, then select those extras when you set up the rate.

How does OfficeRnD Flex calculate the price when multiple rates apply?

When multiple prices apply, OfficeRnD Flex always uses the lowest applicable price.

Which resources should use an hourly rate instead of a daily rate?

Resources booked for short periods, such as meeting rooms, should use an hourly rate instead of a daily rate, unless you want them booked only in daily increments. You can still set a full-day price inside an hourly rate, for example, to discount longer bookings. To do that, set a price per day.
