[Visitor App] Badge Printing – Printer Setup
Updated this week

You can set up printers to print badges from the Visitor app. To do that, you must complete the following steps:

  1. Set up a printer for the Visitor app.

  2. Activate the Visitor Badges feature for any flow in Visitor Hub.

You can set up a printer using Wi-Fi or Bluetooth. We recommend using Wi-Fi.

Wi-Fi setup

Follow these steps to set up your printer:

  1. Unbox your printer and prepare it for use.

  2. Insert the label roll: you can find step-by-step instructions in this help article from Brother →

  3. Secure the coin cell battery:

    • Ensure the printer is turned off.

    • Open the cover and remove the insulation seal from the coin cell battery.

    • Use a coin or similar object to lock the battery cover into the lock position.

    • Note: Insert the battery with the (–) side down.

  4. Assemble the badges: Insert and assemble the roll of badges into the printer.

  5. Turn on the printer:

    • Connect the black power cord to the printer and a power outlet.

    • Press the Power button. Confirm that the green status light turns on.

  6. Set up the printer settings:

    • When prompted, use the [▲][▼], and [OK] buttons to set the language, time, and date.

    • Navigate to the main screen using the [↩] button.

    • In Settings, scroll down to "Auto Power Off (AC/DC)". Here, you can specify the period of time that passes before the printer turns off automatically when connected to an AC power outlet or when powered by a rechargeable Li-ion battery. Select [None] to keep your printer on and prevent it from turning off after some time.

  7. Turn on Wi-Fi:

    • Press the [Menu] button.

    • Use [▲] and [▼] to navigate to WLAN > WLAN (On/Off) > On. Press [OK].

    • Select WLAN > Infra Manual Setting. Press [OK].

  8. Connect to Wi-Fi:

    • The printer will search for available networks. Ensure your printer and iPad are on the same Wi-Fi network.

    • Note: The Brother printer supports only 2.4 GHz Wi-Fi. If you use a dual-band router, your iPad can remain connected to 5 GHz while the printer connects to 2.4 GHz.

    • Use [▲] and [▼] to select your network. Press [OK].

    • Enter your Wi-Fi password:

      • Use the [Menu] button to switch between uppercase, lowercase, numbers, and symbols.

      • Use [▲] and [▼] to select characters.

  9. Confirm connection:

    • If successful, the printer will display “Connected!”. Press [OK].

    • If the connection fails, repeat the steps above.

  10. Verify Wi-Fi: Return to the main screen using the [↩] button. The Wi-Fi icon should appear in the top-right corner.

  11. Get the printer IP address: On the printer, go to Settings > WLAN > WLAN Status > Infrastructure Mode. You can find the IP address on the third line.

    • You must use the IP address to set up the printer on the Flex or Workplace Admin Portal later (see below ↓).

  12. Please contact your system administrator to ensure a reliable connection between the printer and the tablet. They must follow these steps:

    • Set a static IP address:
Ensure that the printer's IP address is static. If the IP address is dynamic, change it to a static address so it does not change over time and disrupt the connection.

    • Verify network connectivity:
Confirm that the tablet and the printer are connected to the same network segment or WLAN. Additionally, check the network settings to ensure that both devices are discoverable and can connect directly to each other.
