Offboarding From OfficeRnD Flex

Learn how to cancel your OfficeRnD subscription, prepare your data, and understand what happens after your account is closed.

We understand that things change, and sometimes, that can mean ending your OfficeRnD subscription—whether due to business changes, internal decisions, or platform fit.

Although we regret your departure, we have created this guide to make the offboarding process as smooth as possible for you. It covers everything you need to know, from submitting a cancellation notice to exporting your data and understanding what happens next.

By following the steps outlined below, you'll ensure a clean and transparent closure of your account. And if you ever decide to return, we'll be ready to welcome you back.


1. Contract cancellation policy

OfficeRnD subscriptions are offered on annual terms that renew automatically unless a non-renewal notice is received within the required timeframe. To initiate a cancellation, we require written notice submitted via email.

The notice period is based on your contract's renewal terms, and you must submit it before your contract's expiration date.

  • A 30, 60, or 90-day advance notice is required, depending on your specific agreement.

  • This notice must be submitted before the end of your current contract term, not at any arbitrary time.

  • Please refer to your signed order form for your specific notice period and contract end date.

  • All outstanding invoices must be paid and brought up to date by the final date of account activation.

If you submit a notice after the required window, it may result in an automatic renewal of your contract for the next term.

How to submit your cancellation request

Send your cancellation notice to [email protected]. Please copy and fill in the details below to ensure all necessary information is included:

Subject: Account Cancellation Request

Dear OfficeRnD Team,

We want to initiate the cancellation of our OfficeRnD account in accordance with our contract terms.

Company Name: [Your Company Name]

Primary Contact: [Your Name and Email Address]

Notice Period: [30 / 60 / 90 days, based on contract]

Final Billing Date: [Proposed date based on notice period]

Reason for Cancellation (optional but appreciated):

[Brief reason]

Please confirm the receipt of this request and advise on next steps.

Our team will verify the notice period and confirm the final cancellation date.

2. Prepare for offboarding

To ensure a smooth transition and avoid losing important information, please complete the following steps before your cancellation date:

End active items

Set end dates and deactivate the following:

Active memberships

Ensure all memberships of your members and companies will end before your subscription ends.

  1. Go to Operations > Memberships and open the Active tab.

  2. Click a membership.

  3. Select End Date and set an end date for the membership.

  4. Click Update.

  5. Repeat for all active memberships.

Bookable resources

To prevent any further bookings by non-members who may not be aware of your transition, update the End Dates on all bookable resources. This prevents anyone from making bookings here that will not get transferred to your new system.

  1. Go to Space > Meeting Rooms.

  2. Click a meeting room.

  3. Set an end date in the To field and click Update.

  4. Repeat the same for all other bookable resources.

Recurring plans

Make sure all monthly plans are no longer available to members and companies 30 days before your cancellation date.

  1. Go to Billing > Plans and open the Monthly tab.

  2. Click a plan.

  3. Open the Member Apps tab, clear both checkboxes in the Privacy section, and click Update.

  4. Repeat for all monthly plans.

These steps will prevent future billing beyond the cancellation date.

Also, ensure that all invoices are received before the last active service date. Any items dated after this will not be processed.

Export your data

After account termination, you will lose access to your data. We recommend exporting the following before your final day.

Plan your data export earlier, as it takes some time to export everything.

Our team is happy to assist with data exports if needed.

Turn off automatic invoice generation

Ensure you turn off invoice generation and charging before your OfficeRnD subscription ends, or you may inadvertently charge your members and companies.

To do that:

  1. Go to Settings > Billing > Invoicing.

  2. In the We'll generate invoices section, clear the Automatically checkbox.

  3. In the We'll charge invoices section, clear the Automatically checkbox.

Step 3: Understand what happens next

Once your OfficeRnD account is closed:

  • On the termination date, we will suspend your account, and you will lose full access to it.

  • We retain your data for 60 days after your cancellation. During this period, you can contact us to retrieve any information you may have missed.

  • After this period, all data is permanently deleted from our systems and cannot be restored.

  • Both active and test or demo organizations will be permanently removed.

  • We follow GDPR and industry-standard practices for data privacy and handling. You can learn more in our Privacy Policy.

If you have prepaid for your current subscription term, you will retain access to services until the end of that period, even if you submit a cancellation notice.

Final steps and confirmation

On your cancellation date, our team will:

  • Turn off access to your Member Portal and admin account

  • Suspend your subscription and associated services

  • Unpublish any branded apps (if applicable)

  • Issue a final invoice for the last billing period

You'll receive a confirmation email once the account is closed.
