Before starting the migration, several necessary steps must be taken. This helps ensure that your data transition is smooth and without delays.
Make sure you complete the following tasks:

Assign a migration lead at your organization. This person should coordinate between Yardi Kube, your internal team, and the OfficeRnD team.
Schedule a go-live date. We recommend choosing a quiet period in your business cycle for testing and onboarding.

2. Export your data from Yardi Kube
To begin the migration, you must first export your key data from Yardi Kube. This includes resources, plans, memberships, companies, members, bookings, and any other necessary items.
To export your data from Yardi Kube:
Log in as an administrator to Yardi Kube.
Export your customers: Open the Customers or Contacts tab, click Export, and download the file.
Export other data from the Reports or Analytics section.
Important considerations when exporting from Yardi Kube
Download data in CSV format for best compatibility.
Some reports may have inconsistent date formatting. Standardize dates to YYYY-MM-DD.
Names of plans and rooms must match exactly when importing into OfficeRnD.

5. Cancel memberships with Yardi Kube
Before activating billing in OfficeRnD Flex, ensure that you end all active memberships in Yardi Kube to avoid duplicate charges. This step is important for a smooth transition.
Make sure all Yardi Kube memberships are marked to end before your official go-live date in OfficeRnD Flex.
To cancel Yardi Kube memberships:
Schedule end dates for all memberships.
Go to your Yardi Kube account and set an end date for each active membership. Do this 1–2 weeks before the next invoice cycle to avoid double charging.Notify your members.
Send a message to your members letting them know that the next invoice will be sent from OfficeRnD Flex, not Yardi Kube. This helps prepare them for the transition and avoids confusion.
This ensures a clean break and prevents your members from being billed in both systems during the same period.
