Effective Resource Rate management in OfficeRnD is crucial for the smooth operation of your workspace. However, common mistakes can lead to inefficiencies and financial losses. This article highlights these common errors and offers practical solutions to help you optimize your resource management.
Assign multiple Resource Rates with different prices for the same resource
Scenario: You create two Resource Rates for the same resource, each with a different price—one intended for external members and another for active members, members from specific locations, or members with specific Billing Plans.
Solution: Instead of creating multiple Resource Rates, use Discount Rates in the Billing Plans. This approach allows customers who have purchased a specific Billing Plan to book resources at a discounted rate compared to others.
Include catering services in bookings
Scenario: You want to add catering services to bookings.
Solution: Create a separate one-off Billing Plan categorized as a service:
Go to Billing & Products
> Products > Plans.
Click Add Plan.
On the General tab, click Plan Type and select "Service."
Then, associate this plan with the Resource Rate used by the relevant Meeting Room. For detailed steps, refer to the following article: How to Add Extra Services.
Understand the purpose of Resource Rates
Scenario: You add Resource Rates, thinking they are the actual bookable resources.
Solution: Learn the distinction between resources and Resource Rates. Actual Meeting Rooms, event spaces, and similar resources must be created under the Space module. The Resource Rate should then be linked to these resources to define their pricing and booking rules.
Create Resource Rates without linking them to bookable resources
Scenario: You created Resource Rates but did not connect them to any bookable resources.
Solution: This oversight could lead to free-of-charge bookings and potential revenue loss. Please take a look at your Meeting Rooms and other bookable resources to identify any that lack an associated Resource Rate.
