[Member Portal] Control Member Visibility

Manage member privacy preferences and display settings using the Welcome Widget to support data privacy and security.

To help coworking operators in Europe meet data privacy and security requirements, OfficeRnD Flex has an option to hide member profiles by default until each member provides their consent. This protects personal data and ensures members have control over how their profile is shown on the Member Portal and on the Members and Branded mobile apps.

What is member profile visibility?

Member profile visibility controls whether a member appears on the Members Page on the Member Portal and on the Members and Branded mobile apps. This includes their name, photo, company, and other public details. OfficeRnD allows you to hide these profiles until the member explicitly confirms their privacy preferences. By default, this privacy setting is turned off.

When and why to use member visibility controls

Operators in Europe must comply with the GDPR, which restricts the sharing of personal data. A common scenario is when members automatically appear in the Member Portal before they have approved any settings. This can lead to privacy concerns or legal risk.

You may want to use this feature if:

  • You operate in a multilingual, privacy-conscious region such as the EU.

  • You want to collect explicit consent before showing profiles publicly.

  • You want to prevent member information from being visible by default.

This feature ensures that new and existing members appear on the Members Page only after they have reviewed and saved their privacy preferences in the Welcome Widget.

How does it work for existing members?

If you want to apply the same logic to your current member base:

  1. Contact our support team and request that the Welcome Wizard be reactivated for all existing members, allowing them to revisit and complete it.

  2. Activate the Welcome Wizard: Ensure that the Welcome Wizard is enabled to guide members through the setup of their privacy and profile.

  3. Capture privacy preferences: Encourage members to log in to the Member Portal and complete the Welcome Wizard, where they can review and select their privacy settings.

  4. Ensure the Member Page is activated: Make sure the Member Page is active in your Member Portal settings:

How does it work for new customers?

If you are onboarding new members and want their profiles to remain hidden on the Members page until they complete the Welcome Wizard and choose their privacy settings:

  1. Open the Flex Admin Portal and go to Settings > Experience Hub > Member Pages.

  2. Select the Show member profile only after member sets privacy in Welcome Wizard checkbox.

  3. Scroll to the bottom of the Member Pages section and click Update.

  4. Ensure the Welcome Widget is activated.


FAQ: Member privacy and visibility settings

What happens if I enable the privacy setting but do not enable the Welcome Wizard?
The member profile will remain hidden, but the member will not be prompted to complete their privacy preferences. Make sure the Welcome Wizard is also activated.

How can I re-trigger the Welcome Wizard for existing members?

Are member profiles visible by default?
Yes. Unless the privacy control setting is enabled, member profiles are shown in the Members page by default.

Does this affect all members or only new ones?
The setting is immediately effective for new members. For existing members, please contact [email protected].

Can I apply this change to all members at once?
Yes. Contact [email protected] if you would like to bulk-apply this setting and require members to revisit their Welcome Wizard.
