Before implementing automation, many operators handled public bookings by conducting manual check-ins or issuing physical keycards at the front desk. While these methods allow for a personal greeting, they often create bottlenecks during busy hours and require your staff to be present for every booking. Automating access through Growth Hub allows you to scale your operations and provide a 24/7 self-service experience for non-members.
Managing one-time bookings and visitors manually can lead to administrative fatigue and frustrated customers waiting to be admitted. By automating door access for bookings made through your Growth Hub website, you can provide a professional, secure, and touchless entry process. This setup allows visitors to manage their own access while your team focuses on higher-value tasks.

Configure automated welcome emails.
Manage door access durations for non-members.
Prerequisites
Admin access to the OfficeRnD Flex Admin Portal.
An active integration with a supported door access provider (e.g., Kisi, Salto, Brivo).
Define your access architecture
Before you automate door access for public bookings, you must configure your door access software to define how temporary visitors and active members move through your space.
Open your door access provider management console (Kisi, Salto, Brivo).
Create or manage your Access Groups to determine which specific doors a public visitor can unlock. For example, "Front Door", "Elevator", "Floor 2 door", and "Meeting Room A".
Decide on the architecture you want to apply. For example, you can grant access only to the specific room booked or provide broader access to common areas during the booking period.
Ensure these groups are synced or mapped correctly within the Door Access integration in OfficeRnD Flex.
Advise visitors to request Member Portal access
To receive automated access to your space, visitors must have a digital identity in your system to unlock doors.
The visitor completes their checkout on your Growth Hub website.
On the confirmation page, the visitor must click Send Me Access Link.
The system sends an automated Welcome email to the visitor.
The visitor must click the link in the email to log in to the Member Portal and set a password.
This step is required even if the visitor is not an active member. It allows them to log in to the app for door access later.
Automate visitor entry through the mobile app
Once the visitor has a profile, the system automatically manages their entry permissions based on the time of their booking.
Instruct visitors to download the OfficeRnD mobile app before they arrive at the workspace.
The system automatically enables door access shortly before the scheduled start time of the booking.
Access remains active throughout the booking and expires automatically shortly after the booking ends.
If a visitor cannot find their Welcome email, ask them to check their spam or junk folder.
If technical issues persist, an admin can manually resend the email from the Admin Portal under the Operations > Members.
