The Invoices page is where your day-to-day billing operations happen. You can see every invoice across all members and companies, track what's overdue or awaiting approval, and take action on individual invoices or in bulk without opening each one separately.
The page is fully configurable. You can show or hide columns, resize and reorder them, and apply filters that stay visible while you work. Your layout is saved between sessions.
Access the Invoices page
Go to Billing > Invoices in the Flex Admin Portal. From here you can:
Filter invoices
Select the filter icon on any column header to apply a filter. Active filters are shown inline above the grid so you can see at a glance what's applied. To remove all filters at once, click Reset Filters.
Filter by document type
To filter by document type (invoice, credit note, overpayment), click the filter icon in the Number column and choose the document types to display.
Filter by company or member
To filter by company or member, click the filter icon in the Customer column and choose 'Company' or 'Member', then select the applicable ones from the list.
Filter by tax report status and eInvoicing status
To filter by tax report status or by eInvoicing status, click the filter icon in the Compliance column and choose the statuses. Only invoices with the selected statuses will be displayed.
Sort invoices
Select the column header to sort by that column. Select it again to reverse the sort order. Sort indicators are shown directly on the column header, so you always know what order you're viewing.
Customize your column layout
The Invoices page comes with an expanded set of columns. You can show or hide any of them, drag to reorder them, and resize them to fit your workflow. Your layout is saved and applied on your next visit.
To add or remove columns, click the
icon at the top of the grid and choose which ones to display.
Available columns include:
Allocations – Shows where a credit note or overpayment has been applied to an invoice.
Accounting Integration Status – Displays the sync status with your connected accounting tool directly in the grid.
Compliance – Tracks eInvoicing and tax reporting compliance for organizations subject to regional regulations (for example, Italy and France).
Location – Useful for multi-location operators who want to filter down to a single site.
Download an invoice as PDF
You can quickly download a single invoice as a PDF. Just click Download PDF on its line.
Take bulk actions on invoices
To act on multiple invoices at once, select them in the list and choose an action from the toolbar that appears.
Available bulk actions:
Mark as sent
Turn on/off late fees
Send by email
Charge
Void
Create credit note
Delete
Use filters first to narrow the list to the invoices you want, then select all to apply a bulk action to a specific segment. For example, all overdue invoices for a specific location.
Use the status summary bar
At the top of the page, a summary bar shows the count of invoices in the following states:
Awaiting Approval
Overdue
Failed
Select any count to instantly filter the grid to invoices in that state. This is the fastest way to triage your billing queue at the start of the day.
Export invoices
To export invoices, select them in the list and select Export at the top right. Invoices are exported as a CSV file.
Use filters before exporting to scope your export to a specific period, status, or location.
What's new on the Invoices page
The Invoices page has been rebuilt with a configurable data grid that gives you more control over what you see and how you act on invoices.
Here's a summary of what changed:
Customizable columns – Show or hide columns from an expanded set, including 3 new ones: Allocations, Accounting Integration Status, and Compliance Status.
Drag-to-reorder and resizable columns – Rearrange and resize columns to match your workflow. Your layout is saved between sessions.
Smart status summary bar – Counts for Awaiting Approval, Overdue, and Failed invoices are shown at the top for instant triage.
Active filter indicator – Applied filters are shown inline above the grid with a one-select Reset Filters option.
In-grid sort controls – Bi-directional sort on every column header, with visible sort indicators.
