Booking Permissions Outside Business Hours for Active And Non-active Members

Introduction

Many flex spaces offer access to bookable resources to Non-active members only during business hours when a front-desk receptionist is there to host them. Meanwhile, Active members can book and access the resources 24/7.

As admins need to be able to forbid Non-active members from booking outside business hours in the OfficeRnD Public Calendar, we expanded the Business hour bookings setting with more granular options. The latter are available as a global setting (found in Settings/Platform Modules/Business Hours) and per-location (in the Add/Edit Location modal).

Restrict Outside Business Hours Bookings Setting

These settings apply only to resource types that are bookable by Time. They do not apply to resource types bookable by Date.

When the Restrict Outside Business Hours Bookings setting (found in Settings/Platform Modules/Business Hours) is selected, Admins now have two additional options:

  • Active members - Forbid outside business hours bookings only for Active members.
  • Non-active members - Forbid outside business hours bookings only for Non-active members.

There are four possible configurations, explained below.

Possible Configurations & Behaviors

This section explains the four possible configurations and resulting behaviors for bookings:

  1. Both Active & Non-active members can book 24h
  2. Both Active & Non-active members cannot book outside business hours
  3. Only Non-active members cannot book outside business hours
  4. Only Active members cannot book outside business hours
  • When Restrict outside business hours bookings is checked, both the Active Members and Non-active Members checkboxes will be checked. You can still un-check them if needed.

Calendar View

Card View

Member Portal & Public calendars will allow bookings anytime between 00:00 to 23:59.

  • Members will see the calendar with availability from 00:00 to 23:59 on both the Public and Member Portal calendars.
  • The Date & Time picker in the Booking dialog will allow bookings anytime between 00:00 and 23:59.

 

Both Active & Non-active Members cannot book outside business hours

  • The Date & Time picker in the Booking dialog will allow bookings only in business hours.
  • For Active members: the Date & Time picker in the Booking dialog of the Member Portal will allow bookings anytime between 00:00 and 23:59.
