[Flex] Book in Advance or Account Future Bookings

Learn how bookings are accounted depending on timing, credits, and recurring rules.

Bookings in Flex can be accounted for immediately or marked as tentative, depending on when they are made and whether credits or coins are available.

This article explains how bookings behave when scheduled for the current month, the next month, or further in advance, and how recurring credits affect them.

Bookings for the current or next month

When you make a booking in the current or next calendar month, it is accounted for immediately:

  • A booking fee is created.

  • Credits or coins are deducted.

  • The booking is confirmed.

Tentative bookings

For companies with monthly credits, future bookings may appear as Tentative if credits for that month are not yet generated.

  • Tentative bookings hold a place on the calendar.

  • When credits are generated, the booking is accounted for automatically.

  • If no credits are available, a booking fee is created instead.

You can always see the date on which a tentative booking will be accounted for in the booking details (see the screenshot).

Future bookings (more than 2 months ahead)

Case 1: No recurring credits or coins at the time of booking

  • Single bookings are accounted for immediately, regardless of how far in advance. A booking fee is created and charged based on your organization's settings.

  • Credits or coins added later for the month of the booking are not applied automatically. An admin must manually update the booking to have the system use these credits and coins.

  • Recurring bookings that extend more than 2 months in advance are created but marked as "Tentative". They block a slot on the calendar and will automatically turn into confirmed bookings when they reach the month of the booking, at which point fees are created.

  • Reason for this behavior: recurring bookings can go into infinity, so the system avoids creating infinite charges in advance.

Case 2: With recurring credits or coins

  • Single bookings more than 2 months in advance appear as "Not Accounted" until credits or coins are generated.

  • Recurring bookings behave the same way. They are created as "Not Accounted" because credits and coins are generated only 2 months ahead.

  • The accounting date is shown for each Not Accounted booking (see the screenshot). When that date arrives, credits or coins are applied automatically.

  • If no credits or coins are available on the booking accounting date, the system creates a booking fee based on the booking rate.

Notes

  • The Future Bookings rule applies whenever monthly credits exist, regardless of their type.

  • Once a booking is accounted for, it does not update automatically if credits later become available or are removed. Admins must update the booking manually to apply such changes.
