Space administrators often must book meeting rooms through the Member Portal and mobile app for free. By default, a room booking cost is calculated based on its Resource Rate.
If an administrator has a membership plan with an applied discount or credits and coins, the booking can be made free of charge. In other cases, bookings are charged at the configured Resource Rate unless unlimited credits are set for the admin company.
This article explains how to configure unlimited credits so administrators can book meeting rooms free of charge.
Before you start
Who can do this?
Admins with access to Operations > Companies.
How It Works
To ensure all administrators working through the admin company can book meeting rooms for free, you can assign unlimited credits to the admin company profile.
To do that:
Go to Operations > Companies and open the profile page of your admin company.
In the Credits section, click Add credits.
βIn the Add Booking Credits dialog, delete the "1" to make the field value "Unlimited".
Open Coins and select "Hours" from the drop-down menu.
Leave the billing period to "month". This way, the unlimited number of Booking Credits will be applied monthly.
Leave the Valid For drop-down menu to "All Resources, Rates".
Set the Start Date.
Clear the End Date checkbox to ensure your admin company will always have an unlimited number of credits.
Click Add.
This procedure adds an unlimited number of booking credits to the admin company in your organization. Space administrators logging in through the admin company will then be able to book all meeting rooms free of charge.
