Adding guests to Meeting Room bookings is key to managing your space's access and scheduling. As an admin, you can invite both internal members and external visitors to a booking, and grant them door access automatically based on your configured door access integration.

This article describes the requirements and steps for inviting guests to bookings using the Admin Portal in OfficeRnD Flex.

Before you start

Before adding guests to a booking, make sure you have the proper level of administrative access.

  • Only admins with the correct permissions can invite guests.

  • The option to invite guests will only appear if a member is selected as the booking creator.

  • If only a company is selected as the booking creator (without a member), the "Invite Guests" option will not be visible.

  • Inviting guests to a booking will grant them door access based on the Meeting Room mappings in your door access integration.


Add a guest to a booking on the Admin Portal

You can invite both team members and external visitors as guests when editing a booking.

To add a guest to a booking

  1. Go to Operations > Bookings and open a booking.

  2. Select Invite Guests.

    • This checkbox is only available if a member is selected as the booking creator. If only a company is selected, the checkbox will not be visible.

  3. Click Select Guests to add internal team members as guests to the meeting.

    • The list will include all other members of the company to which the booking creator belongs.

  4. To add an external guest (visitor), click Add Guest.

  5. Click Update.


FAQ: Adding booking guests as an admin

Why can't I see the "Invite Guests" option when editing a booking?

The "Invite Guests" checkbox only appears when a member is selected as the booking creator. It is not available if only a company is selected.

Can I add external visitors as guests to a booking?

Yes. To add external visitors to a booking:

  1. Go to Operations > Bookings and open a booking.

  2. Click Add Guest, enter their name and email.

  3. Click Add.

These guests will be treated as visitors and granted access accordingly.

Will invited guests receive door access?

Yes. Guests will be granted door access based on the Meeting Room mappings in your door access integration.
