Moving from Nexudus to OfficeRnD Flex mostly comes down to 3 things: cleanly exporting your data, importing it without mismatches, and shutting down Nexudus' billing before your next cycle. Do those in order, and you won't have to fix things retroactively. Plan around your billing cycle from the start. That's where most migrations go wrong.
Steps to complete your migration
Check your contract terms, assign a migration contact, and plan your go-live date.
Export all key reports from Nexudus to retain all your data.
Format your data using the OfficeRnD templates.
Import your data manually or through a bulk upload.
Cancel all active memberships in Nexudus before your next billing cycle to avoid double-charging your members.
Set up your OfficeRnD Flex account: branding, locations, and integrations.
Review your setup, troubleshoot any issues, and prepare to onboard your members.
1. Before you begin
Before starting the migration, several important steps must be taken. This helps ensure that your data transition is smooth and without delays.
Make sure you complete the following tasks:
Check your Nexudus contract terms. Know your cancellation window so you don't overlap billing cycles.
Assign a migration contact. One person should own the process and coordinate between Nexudus, your team, and OfficeRnD.
Schedule a go-live date. Choose a quiet period and avoid the month-end if possible. You'll want time to test before members notice anything.

2. Export your data from Nexudus
To begin the migration, you must first export your key data from Nexudus. This includes resources, plans, memberships, companies, members, bookings, and any other necessary items.
You must be a full unrestricted admin to export data from Nexudus.
To export your data from Nexudus:
Log in to dashboard.nexudus.com.
Go to the list that you want to export.
Click the three dots in the top-right corner and select
Export records.
Your download should only take a few seconds. You can find your export XLS file in the Downloads folder of your device.
Important considerations when exporting from Nexudus
Export everything as CSV.
Some reports may have inconsistent date formatting. Standardize dates to YYYY-MM-DD.
Names of plans and rooms must match exactly when importing into OfficeRnD.
3. Prepare your data for import into OfficeRnD
After you have exported your data, you must adjust the format to match OfficeRnD's import templates. Download OfficeRnD's import templates for each data type →
Format your files to match the templates before uploading anything.
Match required fields exactly. Resource Name, Resource Type, and Location must correspond to existing entries in OfficeRnD Flex.
Normalize team and member names to avoid duplicates.
Check date and currency formats across all files.
Remove empty rows and stray notes from templates. They cause import errors.
4. Set up OfficeRnD Flex
After importing your data, you can set up your OfficeRnD Flex account and configure your organization, settings, and integrations.

Work through the onboarding guide in order. Skipping steps here creates cleanup work later.
5. Cancel memberships in Nexudus
Do this before you activate billing in OfficeRnD Flex. If you don't, members get charged twice.
Set end dates for all active Nexudus memberships. Do it 1 to 2 weeks before your next invoice cycle.
Notify your members. Let them know the next invoice will come from OfficeRnD Flex. A short message ahead of the switch prevents confusion and unnecessary support tickets.
Make sure all Nexudus memberships are marked to end before your official go-live date in OfficeRnD Flex.
6. Import data into OfficeRnD
When your data is ready, you can import it into OfficeRnD Flex. Import data to OfficeRnD Flex →
You have the following import options:
Bulk import using templates – The right choice for most spaces with multiple members, memberships, and resources.
Manual entry – Works for smaller spaces or gradual imports.
If an import fails, you'll get an error message with the specific field that's missing or mismatched. Fix the file and re-upload.
After importing, review all entries in
Operations,
Billing, and
Space.
7. Troubleshoot and fix issues
After you complete the initial setup, please review everything carefully. It's common to miss a detail or make a mistake during onboarding, especially when migrating from another system.
We strongly suggest that you don't skip this step. Even small mistakes can affect how your platform works for both admins and members.
